Summary

As a Senior State Leave & Benefits Administrator at Hummingbird, you will play a pivotal role in administering employee benefits, managing leave programs, and supporting payroll operations for our fully remote team operating across 30+ states. Working under minimal supervision with wide latitude for independent judgement, you will ensure the accuracy, accessibility, and competitiveness of our benefits offerings while maintaining compliance with legal requirements.

Responsibilities

Compensation: Starting at $83,000+, based on experience.

Benefits Eligible: Yes.

Travel: 1-2 trips per year for company events.

Working Hours: Flexible.

Work Location: This position is remote. You must work from a location within the United States with consistent internet service.

Benefits Administration

  • Serve as the primary expert and administrator for employee benefits programs, including health insurance, retirement plans, and additional offerings, using Workday benefits software.
  • Provide employees and managers with guidance on benefit plan provisions, enrollments, eligibility, and status changes.
  • Collaborate with brokers and vendors to optimize benefit offerings, ensuring they are competitive and cost-effective.
  • Lead open enrollment processes, including communications, system updates, and employee education sessions.
  • Perform quality checks of benefits-related data to maintain accuracy and support vendor eligibility updates.
  • Advocate for employees by addressing and resolving benefit-related claims, issues, and concerns.
  • Regularly review benefit trends and employee feedback to suggest program enhancements and new offerings.
  • Support the People Experience Team with updated benefits materials for onboarding and ongoing education.

Leave Management

  • Administer leave-of-absence requests and disability claims, including medical, personal, disability, and FMLA.
  • Maintain accurate records of leave requests and accommodations to ensure compliance with legal requirements.
  • Interpret and apply FMLA, ADA, and state-specific leave laws to address leave and disability cases appropriately.
  • Liaise with third-party administrators for leave management and ensure proper communication with employees.
  • Monitor trends in leave usage and provide recommendations to improve policies and employee experiences.

Payroll Administration

  • Assist with biweekly payroll accurately and on time using our Workday payroll software and ADP post-payroll processing tools.
  • Assist with off-cycle payroll runs and retro calculations as needed.
  • Review payroll prior to finalizing for accuracy.
  • Ensure accurate and timely processing of payroll updates, including new hires, terminations, and pay rate changes.
  • Validate employee change requests and adjustment calculations to ensure accuracy.
  • Support year end requirements including W-2s, annual reconciliations, 1099s, and submission of wage data to state and local governments.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Respond to payroll-related inquiries from employees promptly and professionally.
  • Assist with audits by providing records and documentation to auditors.
  • Assist with special projects as assigned.

Compliance and Reporting

  • Maintain meticulous records related to benefits, leave, and payroll to ensure compliance.
  • Generate reports and analyze benefits and leave data to identify and find areas for improvement.
  • Stay updated on federal, state, and local laws affecting benefits, leave, and payroll to ensure compliance.
