Position Overview and Key Responsibilities:
Patient Care Representative (PCR) plays a key role in supporting patients through the mobility equipment process — from initial intake to approval of equipment. The PCR ensures timely communication, coordination, and documentation to help patients receive their medical equipment efficiently and with excellent service. Success in this role is measured by timely follow-ups, accurate documentation, and strong communication that enhances patient satisfaction and process efficiency.
Intake Management
- Contact all new patients within 24 hours of referral to complete the Intake Questionnaire and initiate the process for obtaining mobility equipment.
- Establish themselves as the main point of contact.
- Verify insurance coverage; if unable to complete verification, contact Business Support or submit the claim for business support to verify.
- Explain the process and get the patient to commit to the process.
- Ensure intake is completed within 5 business days
- If the patient is unreachable after 5 days, escalate to the Manager or Sales Representative for potential order cancellation.
- If ongoing contact attempts (“phone tag”) occur, document each attempt rather than canceling the order.
Scheduling Coordination
- Coordinate and schedule all necessary patient evaluations, including:
- Face-to-Face (F2F) physician evaluation
- Physical or Occupational Therapy (PT/OT) evaluation
- Assistive Technology Professional (ATP) evaluation (for complex orders)
- Schedule each step within 3 business days to keep the process moving efficiently.
- Ensure scheduling process is completed with 20 days.
- If scheduling exceeds 20 working days, PCRs must involve a manager for next steps.
