General Notes

The Office of the Registrar hires for the needs of the entire office. Must be eligible to work in the United States on a full-time basis for any employer.

Purpose

This position provides a wide variety of administrative support and customer support services to students, faculty, staff, parents, alumni, and the general public for operations pertaining to the Office of the Registrar functions. The current office needs are in Official Publications. This team manages and aids campus partners and external stakeholders with curricular, catalog, course inventory, and credential production, publication, and management. This position is looking for a self-motivator to perform advanced and complex activities while contributing as a member of a team, exhibiting interpersonal skills and problem-solving abilities, with the aptitude to learn and apply new technical skills.

Responsibilities

  • Communicate information/data to students, parents, staff, faculty, and reporting entities, including consulting with campus and external stakeholders. Research and retrieve data to respond to community requests.
  • Facilitate and document quality assurance testing to evaluate current processes for improvement/efficiency opportunities and to monitor compliance and risk mitigation. ​
  • Conduct various activities in the Registrar's office, including yet not limited to course inventory, catalog production, credentials, and curriculum.
  • Coordinate and, at times, lead the exchange of information with the campus community consistent with federal and State law and educational policy.
  • Participate in and support team and campus-related projects. Actively participate in meetings, training, and presentations.
  • Answer and/or process higher-level or complicated requests for information and service. Serve as a problem solver for campus partners. Provide training and data retrieval upon request from campus and external stakeholders.
  • Verify accuracy of records. Enter and update electronic information, including updating and maintaining systems. Store and access paper and electronic documents.

Required Qualifications

Bachelor's degree and three years of administrative experience. Demonstrate competency in the use of the Microsoft Office suite and Adobe Acrobat. Demonstrate adaptability, experience working in a team setting, attention to detail, ability to engage, be motivated in the work environment, both strong written and oral communication, and strong interpersonal communication skills. Ability to display tact and professionalism, work cooperatively in the office environment, and provide excellent customer service. Require minimal supervision and use time efficiently. Respond to requests for service and assistance. Exhibit sound and accurate judgment. Demonstrate persistence and overcome obstacles. Ability to take initiative in working both independently and in cooperation with others. 

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with student academic records in a university setting. Experience working with the UT Mainframe, student records, and Veteran Certification. Extensive experience in a position that demonstrated advanced competency in direct customer service, problem-solving, process improvement or related job knowledge. Proven ability to analyze issues and offer practical solutions. Demonstrated organizational ability, negotiation skills, and ability to work under pressure. Experience in identifying and resolving problems in a timely manner. Experience learning, understanding, interpreting, and explaining complex policies and/or legislation. Proven ability to analyze issues and offer practical solutions. Experience working in a university environment and assisting individuals from various backgrounds. Strive to continuously build knowledge and skills. Experience managing student workers/employees.

Salary Range

$47,500
