Humana is looking for a trusted partner to support the executive legal team. As an Administrative Assistant, you will be responsible for managing complex schedules, handling sensitive contracts, and driving department efficiency, all while maintaining the highest standards of confidentiality.
This position offers you the opportunity to use your independent judgment, initiative, and strong understanding of legal procedures to make a meaningful impact. Reporting directly to the VP, Associate General Counsel, Privacy, you'll serve as a critical liaison between executives, internal teams, and external counsel. Successful candidates will possess exceptional written and verbal communication skills, high attention to detail, experience managing competing priorities, and the ability to maintain the utmost confidentiality. Responsibilities include:

Executive Support and Calendar Management

  • Manage highly complex and frequently changing calendars for the legal executive and applicable staff.
  • Coordinate cross-functional meetings, committees, and executive staff meetings, including material preparation and room/catering bookings.
  • Make travel arrangements, prepare detailed itineraries, and process executive expense reports.

Document Preparation and Contract Administration

  • Transcribe, type, draft, proofread, and format a variety of material such as correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations
  • Maintain both physical and electronic files, often utilizing enterprise document management systems to ensure compliance with corporate governance guidelines.

Department Operations and Billing

  • Process legal invoices from outside counsel and track the legal department's budget and expenses.
  • Maintain contact lists, organizational charts, and department rosters.
  • Assist with tracking corporate litigation, regulatory filings, etc.

Communication and Liaison

  • Serve as the primary point of contact between the legal executive, C-suite executives, external law firms, and internal business units.
  • Screen incoming communications, route inquiries, and manage sensitive or confidential corporate information with tact.

Required Qualifications

  • 3 or more years of administrative experience, specifically supporting corporate executives or working in a corporate law department/firm.
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and document management or billing software.

Preferred Qualifications

  • Associate or bachelor's degree
  • Experience with internet research and proof-reading/editing

Additional Information

  • Work Location: Louisville, KY
  • Workstyle: Hybrid Office with expectation to be in office 3 days/week.
  • Schedule: Monday - Friday, 8:30 am - 5:00 pm EST

Pay Range

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
