POSITION: Administrative Assistant I for the Barnett College of Ministry & Theology (BCMT)
REPORTS TO: Dean of the Barnett College of Ministry & Theology
MINIMUM EDUCATION REQUIRED
High school diploma/GED required.
Bachelor's or Master’s degree in ministry, Bible, or theology preferred
EXPERIENCE AND TRAINING
1. Administrative or supervisory experience, preferably some in higher education
settings.
2. Office productivity software skills including the Microsoft Office Suite of
applications.
3. Ability to write and communicate effectively in various environments, including
social media.
4. Ability to manage and prioritize multiple tasks and projects in a fast-paced
environment.
DUTIES AND OTHER JOB RELATED ACTIVITIES
1. Oversee the day-to-day management and coordination of various administrative
tasks associated with institutional effectiveness within the Barnett College of
Ministry & Theology (BCMT):
a. Develop and execute efficient processes for tracking changes and
improvements to curriculum and instructional activities.
b. Manage the Barnett College budgets, under supervision of the Dean
c. Maintain and run the Ministry Grant program, which includes: setting up
trigger points, tracking student participation, etc. . . .
d. Ensure minutes at monthly departmental faculty meetings are recorded
accurately and distributed to all members and the Offices of the Provost
and Institutional Research.
2. Assist the Dean with coordination and scheduling of external activities and
communication with:
a. BCMT and its schools and centers.
b. External constituents including industry partners, alumni, and donors.
c. Recruiting students.
d. Other meetings, events (internal and external), and travel as directed by
the Dean.
3. Coordinate the administration of various tasks among Graduate Assistants and
student workers including:
a. Hire, train, schedule, supervise, and evaluate student workers and others
as needed, including the use of electronic grading systems.
b. Reserve rooms across campus for the Dean, and train graduate assistants
to do same for department chairs and faculty members.
c. Use the student information systems to make requests and research
issues.
d. Maintain inventory and purchase office supplies for all BCMT
departments.
e. Collect and store faculty members’ office schedules & all syllabi for each
semester.
f. Maintain and securely archive confidential and important correspondence
and other documents including annual performance evaluations of all
BCMT faculty members.
4. Provide day-to-day administrative duties for the Dean’s office including:
a. Process office incoming/outgoing correspondence for the Dean.
b. Answer office telephones and handle calls accordingly.
c. Process paperwork, filing, and other communications for the Dean.
d. Monitor purchasing card transactions and expense reports for the Dean’s
office personnel and make weekly allocations, and complete monthly logs
to turn into business office.
e. Process requests for all BCMT faculty travel and development funds.
5. Coordinate the Divinity School graduate programs
a. Assist the Dean and Chair of the Divinity School in the coordination of the
programs
b. Coordinate with the Dean and Chair in annual scheduling of courses
c. Track course enrollment
d. Assist the Dean in matters of accreditation
e. Coordinate the scheduling, accommodation, and remuneration of guest
lecturers
f. Interface closely with SEU admissions and academic services
g. Build prospect lists and coordinate recruiting efforts with the Enrollment
