Located in Danville, KY, the historic, picturesque 150-acre campus is 30 miles from Lexington, in the famed Bluegrass Region of Central Kentucky.
The Administrative Assistant for Human Resources will report to the Chief Human Resources Officer.
Essential Job Functions:
- Handles highly confidential material relating to staff and faculty;
- Provides administrative support to the Human Resources department including meeting and calendar coordination, phone coverage, making room reservations, filing and document retention, and communicating with all levels of college employees;
- Coordinates the College’s service award program for employees;
- Coordinates all outside rentals of facilities (except Norton Center for the Arts) preparing the Facilities Rental Agreement and, gathering the signed contract, certificate of liability insurance and payment for the facility;
- Assists in the administration of open enrollment annually
- Responsible for planning various College events (annual wellness event, employee appreciation, ect.)
- Oversees the set up and account management of DocuSign.
- Administers new employee on-boarding process to include setting up all new employees in the HRIS system and relaying the information to the new employee which includes, their College ID number, login and password to access their computer and CentreNet and their Centre College email account information.
- Monitors department’s budget accounts, processing check requests, purchase orders and reports discrepancies or problems;
- Prepares annual correspondence and on-going communications organizational charts, needed Staff Handbook edits, and various notices to employees;
- Coordinates Summer student employment process;
- Coordinates Summer Camps’s employment process;
- Maintains all the Human Resources forms and documentation on CentreNet;
- Assists and/or serves as administrator of various Human Resources self-service and external websites;
- Demonstrates appreciation of and experience working with a diverse academic environment, inclusive of students, faculty, and staff of many social, economic, cultural, ideological, racial, and ethnic backgrounds;
- Contribute to the overall success of the department by performing all other essential duties and responsibilities as assigned
Qualifications
Education and Experience
- High School diploma required.
- Related advanced degree desirable.
- Prior administrative experience required
Knowledge and Skills
- Word Processing (Microsoft Word), Excel, PowerPoint.
- Excellent spelling and grammar usage necessary.
- Ability to manage time to accommodate multiple projects from various sources.
- Ability to work with various constituents of the College and those outside Centre’s community in relation to special programs.
Physical Requirements:
- Limited pushing, pulling, lifting. Lifting would not exceed 30-40 lbs.
- Mobility on campus necessary.
- View screen for extended periods of time.
