Position Summary:
In coordination with the Sr. Director & Sr. Maintenance Manager, the Operations Manager handles supervision, inspection, preventative maintenance and repairs to Center infrastructure including HVAC, electrical, plumbing, grease interceptors, fire life safety, lighting and all other operational systems. Serves as the primary point of contact for all tenant operational concerns and lease compliance issues. Supervises vendor performance and handles all purchase order creation and invoice approvals. Works with Sr. Director, Retail Operations to plan, document and execute all Capital Projects. Work Schedule: Sun-Thursdays. This position is a first responder for critical operations activity or emergencies. Therefore, work schedule may require after hour (sometimes unscheduled) visits to the property for special event load-ins/outs, leaks, fires or other emergencies or unforeseen critical events.
Job Duties:
- MANAGER ON DUTY COVERAGE (“Spectrum 1”): Serves as primary property management professional supervising center operations on Sunday afternoons and evenings, addressing merchant compliance and concerns, handling emergency response communications, coordinating the check-in and check-out of performers and monitoring volume, supervising merchant and vendor adherence to Center guidelines. Monitors loading docks, traffic ambassadors, traffic flow, valet operations (liaising with valet contractor) parking decks, trash hauler scheduling and customer interactions.
- PLACE-MAKING: Supervises all vendors to maintain best in class appearance and cleanliness, coordinating with housekeeping, landscaping and maintenance to address any issues with flooring, lighting, painting, signage, utility facilities, restroom or family lounge concerns.
- SAFETY: Responsible for property compliance to local, state and federal laws including but not limited to fire & life safety, vertical transportation, hazardous material documentation, access and disposal, attractions compliance with DOSH requirements (Carousel, Spectrum Sunwheel, Spectrum Climber, Interactive Fountains). Oversee Center Safety Program, serving as Chair-person of the Safety Committee, conducting regular meetings and documenting meeting minutes. Supervises Injury & Illness Prevention Program and compliance to OSHA laws, and maintains OSHA 300 log and supervises related activity. Acts as liaison with fire department and utility providers. Works with Sr. Mgr Maintenance to implement preventative maintenance schedule for all departments. First responder to facility emergencies 24/7.
- PROJECT & CONTRACT MANAGEMENT: Develop RFPs and handle bidding process for contracted services, tenant maintenance agreements and capital projects; making final recommendations to Sr. Director, Retail Operations and ensuring all agreements are current. Create capital spending approvals and work with contract administration to finalize contracts and service agreements. Manage projects and process change orders.
- FINANCIAL ACUMEN: Drive operational excellence while exercising financial discipline, achieving key performance indicators. Prepare and manage annual budget for expenses and capital projects to achieve on-time and on-budget completion. Controls expenses, handles purchase orders, invoice approvals and research of billing discrepancies.
- ENVIRONMENTAL COMPLIANCE: Administers and seeks opportunities to expand and improve Center’s environmental programs & initiatives (solar, recycling, LED, water conservation, etc.). Handles contracting and execution of remediation for Asbestos Containing Materials (ACM), California Environmental Reporting System (CERS), Water Quality Management Program (WQMP), Irvine Ranch Water District (IRWD) regulations and state mandates.
- BACK OF HOUSE: Coordinate trash hauling schedule to ensure proper scheduling based on demand. Train merchants on proper disposal of trash and organics program (SB 1383). Oversee recycling program. Oversee kitchen grease disposal and interceptor pumping and jetting program.
- PARKING & TRAFFIC: Oversight of all parking and traffic trending contractors including parking-guidance, pedestrian traffic trending, valet operations and premium self-parking, loading dock flow and employee parking compliance.
Minimum Qualifications / Other Expectations:
Education & Experience:
- Bachelor's degree or equivalent job experience.
- Minimum 3-5 years construction and/or maintenance. operations related experience.
