Job Description
The Company's Talent Management organization has an opening for a Lead Associate, Administrative Services who will be responsible for supporting the Senior Vice President, and Chief Talent & Strategy Officer along with a team of Global Talent Leaders. The individual selected must have the ability to prioritize and complete deliverables across multiple stakeholders; have strong verbal and written communication skills; the ability to work both independently and collaboratively; be comfortable with multi-tasking on diverse responsibilities; be flexible, and able to work in a fast-paced, deadline-driven environment. This role is critical to the success of the team and will be involved in activities that include, but are not limited to, department budgeting, talent management processes and programs, Succession Planning, and other cyclical Global Talent processes. A high degree of professionalism and confidentiality is required due to the sensitive nature and policy requirements for human resources data. The ability to build and manage relationships in a cross-functional, matrix organization is necessary. A strong working knowledge of data analytics with comfort working in business systems as well as Microsoft applications is required.
Responsibilities include, but are not limited to:
Partnering across the HR organization to ensure collaboration within the Talent Management team.
Provide assistance to the HR admin teams in answering questions and planning for Global Talent cyclical processes and timelines across their client groups.
Managing correspondence sent on behalf of the SVP, calendar appointments, meetings and agendas, conferences, internal/external speaking engagements and travel arrangements for the SVP.
Preparing, processing, and reconciling expense reports, purchase orders, and payment requests, as needed.
Managing distribution lists, team sites, electronic files, and other data to ensure accurate, up-to-date information is available and stored appropriately for prompt retrieval based on business needs, records retention, and legal holds.
Creating and distributing highly confidential correspondence and reports; monitoring and screening communications for action or delegation.
Responding effectively and in a timely manner to numerous stakeholders to answer questions and direct people to the right resource to resolve problems.
Coordinating Global Talent staff meetings on an ongoing basis along with supporting and planning larger meetings within the team as needed (i.e., GTM Town Halls, All Hands calls, off-site meetings, etc.).
Support other routine or ad hoc tasks and projects as assigned.
Education:
Required: High School Diploma or equivalent
Preferred: Advanced education or certifications (e.g., associate degree, Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Required:
Ten (10) years administrative experience including five (5) years of executive-level support experience.
Exceptional level of administrative, organizational, planning and follow-up skills with demonstrated accuracy.
Ability to handle highly sensitive information with discretion and confidentiality.
Advanced computer skills (Excel, Power Point, MS Word, etc.) and operation of other related programs, including knowledge of Ariba/Fieldglass and other company systems.
Demonstrated experience coordinating/scheduling multi-leg domestic and international trips requiring the processing of visas/passports.
Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including displaying flexibility and sensitivity with others across other geographies, languages, and cultures.
Must be able to work under pressure and handle multiple tasks, as well as demonstrating accuracy, attention to detail, the ability to exercise initiative, flexibility, tact and good judgment, be diligent and proactive in anticipating needs, and maintain a high level of confidentiality.
Effective business communications - both written and oral to interact with internal and external stakeholders at all levels, including executives and peers.
The person must be able to work independently and be a "self-starter" with the ability to prioritize.
Ability to problem solve through investigation and solution identification.
