Title: Administrative Assistant to Curriculum Supervisor

Reports To: Curriculum Supervisor

Takes Direction From: Curriculum Supervisor, Director of Curriculum and Professional Development

Schedule/Calendar:     3.75 hrs./day     18.75 hrs./week      261 days/year

Summary: Assists in the efficient operation of the Curriculum Office by performing a wide variety of communication, clerical, record-keeping, and general office duties with minimal direction and supervision from supervisors and staff.

Essential Functions:

  • Performs a variety of office and secretarial work for Curriculum Supervisor(s), including the following:
    • Tracks grants and expenses and produces financial reports for review by the supervisor.
    • Processes timesheets for the department and/or program participants and submits to payroll.
    • Creates and maintains databases for tracking expenses, accounts, parts, and related data.
    • Maintains and enters data into PowerSchool accounts, creates spreadsheets to track expenses, and informs management of available funds.
    • Answers inquiries regarding programs and services,
    • Maintains office supplies and arranges for equipment service.
    • Ensures understanding and compliance with established policies and guides.
    • Anticipates requirements for the department and staff, assembles information for due reports, and tracks events or situations to keep supervisors/coordinators and staff informed.
    • Understands the organization and functions of the District and schools, as well as office policies and regulations.
    • Maintains calendars and schedules appointments and conference calls on behalf of the division supervisor/coordinator with various MCPS and community stakeholders.
    • Follows up requests for information with phone calls/email as necessary.
    • Makes travel arrangements and processes travel vouchers.
    • Answers telephones, addresses the issues, or routes calls to appropriate staff if action cannot be taken immediately.
    • Attends meetings, takes minutes, types them, and distributes them to appropriate stakeholders.
    • Sets up and maintains department files.
    • Gathers and compiles information for reports and other purposes.
    • Prepares written materials from drafts, verbal instructions, or prepares correspondence to be signed by the supervisor.
    • Produces a variety of documents (letters, memos, reports, psychological evaluations, bid documents, announcement forms, etc.) from rough draft copy, verbal instructions, and brief notes. Assembles files and data for meetings/training for staff and attendees.
    • Maintains electronic data files of documents in accordance with established procedures for creating, purging, and storing backup files.
    • Arranges for building service assistance as needed.
    • Sets up and arranges division conferences and meetings (Activities may include ordering food, setting up, advertising, etc.)
    • Performs related work as required.

Education and/or Certification Required:

  • High School Diploma or GED diploma required.
  • Associate's Degree preferred

Experience Needed:

  • Prior experience in an office environment, preferably in a school district.
  • Working within deadlines.
  • Other combinations of applicable education, training, and experience that provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

Knowledge of:

  • English, spelling, general vocabulary, and arithmetic.
  • Current office practices, procedures, and equipment.
