Position Summary

We are actively recruiting for a Payroll Specialist to join our growing team. Under the general direction and supervision of the Payroll & Integration Project Manager, the Payroll Specialists’ primary responsibility is accurately processing payroll for the organization. This individual is responsible for coordinating the functions of all payroll related activities, including maintaining related records, filing tax and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, document policy and procedures, conduct audits, and help drive process improvement initiatives.

Responsibilities

  • Responsible for the preparation and processing of multi-state payroll for employees; reviews and ensures accuracy of approved time-sheets; tracks and deducts all garnishments and other special payroll deductions.
  • Serves as a first point of contact for employees in matters of payroll, time-cards, and taxes.
  • Assists with process improvement for the payroll department.
  • Assist with periodical audits (internal, financial and tax authorities).
  • Keeps accurate records of employee unemployment and disability insurance; research and resolve all payroll tax inquiries; manage relationships with vendors to ensure service levels meet expectations.
  • Review and analyze current payroll, benefits and tax procedures to recommend and implement changes leading to best practice operations; audits payroll balance sheets, W-4’s, and YTD earnings.
  • Ensures compliance by keeping abreast of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting.
  • Conducts regular payroll reporting as required on a weekly, monthly, quarterly, yearly basis (i.e. gross pay, YTD, hours worked, PTO accrual, tax deduction, benefit deduction, etc.); assists the annual 401k audit and proper filing of the annual Form 5500; assists with financial audits related to pay records and associated general ledger.
  • Assists in processing year-end reports and reconciles W-2 information for accuracy; reports and documents any discrepancies in payroll processing to maintain clear record of reconciliation and adjustments.
  • Provides support to employees regarding schedules and time and attendance administration; oversees administration of the electronic timekeeping system; reviews and monitors submissions of approved time-sheets to ensure accuracy of valid data transfer to/from payroll system.
  • Performs various journal entries, account reconciliations, and provides general ledger and effective accounting support.
  • Assists Payroll Administrator in the management of the company’s retirement plan; assists in the process of new groups joining the plan as well as mergers with existing plans; while ensuring the plans follows all ERISA, IRSA and DOL regulations and requirements.

Qualifications

  • 3 years of specialized payroll experience required
  • Certified Payroll Professional (CPP) certification a plus 
  • Knowledge of UKG Pro system and BI reporting strongly preferred
  • Experience with time and attendance systems required
  • Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
  • This position requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations.
  • Must be a self-starter and able to accomplish expected tasks under minimal supervision with the ability to handle and prioritize multiple tasks and meet deadlines.
  • Maintain strong organizational skills, the ability to work under pressure, and exercise a high degree of diplomacy and tact.
  • Excellent customer service and interpersonal communication skills, practices cultural sensitivity, and demonstrates ability to work with diverse people groups.
