JOB TITLE: Administrative Assistant 

DEPARTMENT: Administration 

EXEMPTION: Non-Exempt

REPORTS TO:  Director of Data Systems & Analytics

SUPERVISES: N/A


Center for Family Life (CFL) is seeking an administrative assistant to provide essential multi-faceted support to CFL’s family, youth, employment, and community service programs.  


Job Description:  

Responsibilities may include, but are not limited to:  

  • Review participant intake documents  
  • Enroll participants and enter attendance into online databases  
  • Check participant folders and staff folders for accuracy  
  • Transfer data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners 
  • Type in data provided directly from program participants 
  • Create spreadsheets with large numbers of figures without mistakes 
  • Verify data by comparing it to source documents 
  • Update existing data 
  • Retrieve data from the database or electronic files as requested 
  • Perform regular backups to ensure data preservation 
  • Sort and organize paperwork after entering data to ensure it is not lost 
  • Help to assign tasks and oversee office interns  
  • Perform general office duties:  answer multi-line phone, check voicemails, file documents, etc. 

Skills Required: 

  • Proven experience in data entry 
  • Fast typing skills; Knowledge of touch typing system is strongly preferred 
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.) 
  • Working knowledge of office equipment and computer hardware and peripheral devices 
  • Basic understanding of databases 
  • Good command of English both oral and written and customer service skills 
  • Great attention to detail and excellent organizational skills 

Qualifications: 

  • High School or Equivalency Diploma required 
  • Bachelor’s  Degree, preferred 
  • Years of Experience: At least one year of office-related experience required  
  • Bilingual in Spanish or Chinese preferred

  • Is highly dependable  
  • Has a flexible personality, ready to switch tasks when asked  
  • Is able to effectively communicate with teenagers, parents, and outside agency staff  
  • Enjoys working in a friendly, exciting and fast-paced environment  
  • Is able to present themselves professionally at all times and demonstrate appropriate boundaries with teens, parents, coworkers, and outside agency staff  

Anticipated Start Date: 07/01/2025


This is a part-time position at 15 hours per week. The hourly range is $16.50 - $20.00 per hour.
