The position of Department Coordinator at the University of Louisville will support Office of Undergraduate Admissions recruitment and supporting students and parents through the admissions process, via phone, e-mail, and in-person. This position will also serve as the primary contact for community-based organizations, building and maintaining relationships across the Commonwealth of Kentucky, and promoting UofL as an educational destination with an emphasis on supporting under-represented, first-generation, and low-income students.
In cooperation with the Associate Director of Admissions for Visits and Events, this position will oversee all undergraduate group visits, including the development, coordination, and execution of visit programming, as well as maintaining group visit communications and presentation content.
The position will also assist in the development and planning of on-campus large scale recruiting and service events such as Accolade, Cardinal Preview Day, Say Yes to the Ville, and Think College Now, as well as coordinate additional community-based programs and events. Additionally, this position will support general recruitment efforts, including attending fairs and events, assisting students and families through the admissions process, and contributing to enrollment management initiatives.
Essential Duties and Responsibilities
Community-based Organization Outreach & Networking
Build strategic relationships with community-based organizations with an emphasis on organizations that foster and promote educational attainment and success for its participants.
Serve as primary contact for community-based organizations with UofL Undergraduate Admissions
Identify organizations throughout the Commonwealth of Kentucky and maintain regular communication and promotion of UofL as an educational destination.
Responsible for updating and maintaining community-based organization information in the Admissions CRM.
Undergraduate Admissions Group Visits
Develop targeted strategies to bring groups to campus and deliver meaningful campus visits that focus on UofL's success with low income and first-generation students.
Coordinate and manage all aspects of group visit planning, scheduling, and execution to include being primary group visit presenter.
Oversee group visit web content, ensuring accuracy, timely updates, and alignment with visit availability.
Develop, review, and maintain group visit presentation materials to ensure consistency and quality of messaging.
Serve as the point of contact for group visit communications with Admissions Communication team to include sharing updates with Admissions staff.
Event Planning
Assist in the development and planning of on campus large scale recruiting events such as Accolade, Cardinal Preview Day, and Say Yes to the Ville, etc.
Plan & execute additional service/community-based events such as Future Cardinal Reception, Porter Scholar Reception, and Think College Now
Attend professional organization conferences and meetings to enhance job performance and make recommendations for program updates through professional development.
General Admissions Responsibilities
Advance the University recruitment goals by attending fairs/community events, assisting parents and students through the admissions process and serving as a reviewer for scholarship programs.
Assist and support all enrollment management and new student program recruitment efforts.
Serve in a rotation for Counselor on Call, providing support for walk-in visitors, phone inquiries, and email correspondence that require additional assistance beyond front desk support, as well as delivering daily campus visit presentations to prospective students and their guests.
Assist with the general outreach and recruitment efforts to prospective students in Kentucky, including high school visits, fairs, phone calls, and e-mails.
Compensation will be commensurate to candidate experience.
