JOB SUMMARY
The Manager of Operational Records Management leads the Records Analyst team within the Operations unit, ensuring accurate management of student records across departments. This role focuses on maintaining information standards, governing processes, and ensuring information reliability for decision-making. The Manager provides expertise in information tools, processes, and governance to ensure compliance with policies and regulations.
The ideal candidate thrives in a fast-paced environment, handling high-volume information entry while maintaining attention to detail. Key responsibilities include managing reports, working with Excel, implementing process-driven activities, and monitoring workflows through tools like JIRA, Zendesk, and SharePoint. The Manager will also produce routine reports and ensure the integrity of exception resolution workflows to support student record processing and funding.
The candidate must be analytical, tech-savvy, deadline-driven, and possess strong leadership skills, playing a crucial role in resolving exceptions to ensure awarding and funding processes are completed.
KEY RESPONSIBILITIES
◦ Collaborate with the Head of Operational Record Management to develop and implement strategies aligned with organizational goals.
◦ Ensure the validity and accuracy of information produced by source systems to support decision-making processes.
◦ Produce reports on team productivity and record management; maintain and enforce business unit information standards, guidelines, and governance policies.
◦ Prioritize and manage tasks from multiple teams and stakeholders to ensure timely and effective execution.
◦ Oversee the team's processes for downloading, importing, and uploading reports, ensuring consistency and quality.
◦ Manage workflow processes for resolving record exceptions and update student records based on business requirements.
◦ Prepare regular reports and presentations for stakeholders, highlighting team achievements, challenges, and areas for improvement.
◦ Lead, mentor, and manage the Records Analysts team, providing guidance on tasks, prioritization, and problem-solving.
◦ Collaborate with cross-functional departments to ensure consistent application of information management processes.
◦ Review and ensure accuracy of documents and reports for content and intent.
◦ Support business leaders by presenting and interpreting data clearly to inform decisions.
◦ Review exception reports, ensuring they meet business needs and aligning with objectives.
◦ Ensure all data management practices comply with governance principles, research methodologies, and business regulations.
◦ Identify emerging issues and proactively recommend actions based on reporting reviews and team initiatives.
◦ Communicate complex data concepts to leadership and stakeholders in a simplified manner.
◦ Continuously monitor data processes, recommend improvements to enhance accuracy and efficiency.
◦ Collaborate with internal teams (e.g., finance, legal, communications) to ensure compliance with guidelines, financial reporting, and communication strategies.
◦ Stay informed about legislative changes, policy updates, and best practices in scholarship program administration.
◦ Work in process-driven platforms such as Microsoft Teams, OneNote, SharePoint, Spiceworks, Omatic, ResearchPoint, and other necessary tools.
◦ Identify opportunities for process enhancements and increased productivity.
◦ Perform other tasks as needed to support organizational goals and the smooth operation of the unit.
EDUCATION & EXPERIENCE
REQUIRED:
◦ Bachelor’s degree preferred in Information Management, Data Analytics, Business Administration, Computer Science, Library and Information Science, or a related field.
◦ 5+ years of experience in data record analysis, application processing, customer service, or financial services, with a focus on data accuracy and system navigation.
◦ Proven experience documenting accountability for audit purposes in multiple systems.
◦ Proven leadership experience with the ability to lead and develop teams effectively.
◦ Strong analytical skills and the ability to work with complex datasets.
