About the role

Role Summary

ProVeg International runs national and international projects and programmes in parallel which are owned by country directors and department heads. As International Projects Manager, you are responsible at a meta-level for planning, coordinating and implementation of several key projects, by providing guidance and coaching to project leads and teams to ensure they adhere to project plans and achieve successful outcomes. You collaborate closely with various countries and departments to ensure projects are delivered on time, within scope, and within budget. You build processes and templates around project planning and delivery and coach stakeholders on best practices. Ability to handle multiple complex and international projects at the same time is essential.

Reports to: Head of International Operations

Department: INT Operations

Location: Remote (ideally in UK, NL, PL, CZ)

Hours: 32-40 h per week

Salary range: depending on experience and location, e.g., £35,000 - £40,000 per annum if UK-based

Responsibilities

Project Coordination:

  • Advise on project plans including objectives, timelines, tasks, resources, and budget requirements, in collaboration with stakeholders.

  • Collaborate with cross-functional teams including corporate engagement, research, policy, communications, fundraising, and operations (including monitoring, evaluation and learning).

  • Oversee project activities, ensuring that tasks are completed as scheduled, that project objectives & KPIs are met and that outcome & impact evaluations are conducted.

  • Proactively identify, address and solve any roadblocks or issues that may arise during project implementation.

  • Collaborate with external stakeholders and coordinate their activities and deliverables, where relevant.

  • Monitor project budgets and expenses, ensuring that expenditures align with approved budgets.

Communication:

  • Maintain regular and clear communication with project team members, stakeholders, and senior leadership team. Provide timely progress updates, risk assessments, and potential solutions.

  • Represent ProVeg at external events, conferences, and meetings, showcasing our organisation's mission, values, and achievements in the field of food sustainability.

  • Work with the Grant writer and fundraising team on project funding bids.

Documentation:

  • Maintain accurate and up-to-date project documentation, including project plans, progress reports, and lessons learned.

  • Provide support with the CRM systems, project management and other tools to optimise project planning, implementation and evaluation.

Continuous improvement: 

  • Continually build and improve delivery processes to enable better delivery with less effort.

  • Mentor stakeholders on project management best practices.

Qualifications

Required

  • Bachelor's degree in business, economics, informatics, operations management, project management, or a related field. A Master's degree in a relevant discipline is a plus.

  • 5+ years of experience in international and remote project management, ideally in the non-profit sector.

  • Ability and experience working on several projects in parallel is essential.

  • Proficiency with project management tools, e.g. Wrike, Google Sheets, Gantt charts.

  • Strong knowledge of project management methodologies (Agile, Scrum, Kanban, Waterfall) and techniques.

  • Strong analytical and problem-solving skills.

  • Flexibility to adapt to changing project requirements and business needs.

  • Excellent written and verbal communication skills in English.

  • Passion for and commitment to ProVeg's mission.

  • ‘Getting it done’ attitude, resourceful and resilient.

  • Good negotiation, objection handling, and general interpersonal skills.

Desirable

  • PMI, PMP, CSM, Lean Six Sigma, Prince2 or similar project management qualification.

  • Knowledge of food systems transformation, and related topics such as agriculture, nutrition, environment, the food sector, marketing and consumers.

  • Culturally sensitive with good people management skills.

  • Willingness to travel to ProVeg offices and events.
