Position Purpose:
The Marketing Administrative Assistant serves all the teams on various levels, always maintaining a professional working environment and positive attitude, as well as confidentiality due to the sensitivity of certain job tasks.
Essential Duties:
- Assists by reading, researching, and routing correspondence; drafting letters and documents, and collecting and analyzing information.
- Maintaining the Marketing Director's inbox by organizing, filing, flagging, forwarding, and responding as needed.
- Manages the calendars for the Director of Marketing.
- Attend various types of meetings as requested.
- Transcribes and distributes meeting notes and action items. Prepares action plans from meeting results and distributes them to stakeholders.
- Makes Marketing travel arrangements.
- Schedules meetings, prepares agendas, and ensures notices go out to all participants.
- Reconciles credit card transactions for Marketing credit cards, as well as monitors spending and reports to the Director as needed.
- Submits all purchase requests through SAGE.
- Submits all backfill requests and new job requests for the department.
- Vets all incoming resumes and applications, schedules interviews, and does the 1st call phone interview as requested by the department.
- Assists with HR matters.
- Purchases supplies as needed.
- Acts as a liaison for the Director of Marketing as needed.
- Oversees the department timesheets, OT, and PTO.
- Oversees all independent contractors and the creation of new contracts.
- Other duties as assigned.
Qualifications
Knowledge, Skills, and Abilities:
- Strong administrative, time management, organizational skills, and verbal and written communication skills.
- Ability to take detailed notes in meetings and convey them clearly to others.
- Ability to handle personal, sensitive, and confidential information discreetly.
- Strong interpersonal skills, ability to work effectively with peers, managers, and across departments.
- Ability to prioritize tasks, delegate when necessary, and change direction quickly.
- Strong problem-solving skills, identifying and resolving problems promptly, and gathering and analyzing information skillfully.
- Self-directed and self-motivated with good judgment skills.
- Excellent team management skills.
- Must be able to effectively operate a Windows-based computer and navigate Microsoft Office Suite.
