About the role
<p><strong>About Huawei Ireland Research Center</strong></p> <p>Our mission is to position Huawei as a recognized technology leader and a global provider of information and communications technology (ICT) solutions. To achieve this, we are building an industry-recognized multi-discipline Research Center of experts with focus on medium-term to long-term issues. Huawei Ireland Research Centre (IRC) will work closely with an open innovative ecosystem with Huawei customers to address real-world issues. IRC will also engage with key European universities to build a basic research capability to support Huawei technical projects.</p> <p><strong>About the Position</strong></p> <p>We are seeking highly motivated candidates to work in our Athlone R&D division as a project assistant to the leading experts of the SNI Lab and support the lab’s everyday administrative requirements. The successful candidate will report to the Office Manager as well as other associated offices if it is deemed necessary.</p> <p>Your responsibilities include:</p> <ul> <li>Assisting your manager and senior staff with routine administrative tasks such as greeting internal and external visitors, booking conference calls, meeting rooms, flights, hotels and taxis, as well as typing, printing, scanning and archiving documents. Liaison with local corporate hotels and make bookings for internal and external business visitors to Athlone.</li> <li>Support the Athlone office with routine administrative tasks such as ordering stationery items (including business cards), purchasing and organizing tea, coffee, fruits and from time to time, team building activities.</li> <li>Facilitate new employees on-boarding, expat acclimatization and consultants checking in and checking out, making sure they have a laptop and access card when they join and hand them back when they exit.</li> <li>Help the staff apply for invitation letters, visas and business travel authorization or travel requests before going on a business trip.</li> <li>Help the staff with their expense claims, archive them locally or post them to Dublin as appropriated.</li> <li>Manage office assets, help the staff operate relevant eFlow and deal with IT issues.</li> <li>Raise purchase requests, follow up with delivery, check invoices and process payments, when required.</li> <li>Assist with EHS health & safety administration.</li> <li>Act as Huawei point of contact for the property management team of the building, manage the registration of suppliers and visitors to the Athlone office.</li> <li>Reporting of all issues related to facilities to office manager and IFM company. Following up on these issues and assisting with resolving matters urgently. </li> <li>Coordinate with Facilities Coordinator in Dublin and IFM company to allow access to engineers and vendors attending for reactive and PPM works. Sign service dockets and file as necessary. Ensure permits for work are filled out correctly and issued to relevant bodies.</li> <li>Provide administrative support for internal events and conferences.</li> <li>Adhoc requests, such as but not limited to, arranging fobs and access cards, liaising with building management, general advice and guidance</li> </ul><p><strong>Requirements</strong></p><ul> <li>Bachelor or Master Degree in language, business or communications.</li> <li>Minimum of 1 year demonstrated successful work experience as a Personal Assistant or Administration.</li> <li>Knowledge and proficiency with Microsoft products including Outlook, Microsoft Office (Word, Excel and PowerPoint), Microsoft Teams.</li> <li>Strong planning and organizational skills with the ability to prioritize and problem solve plus change direction in response to ambiguous work situations.</li> <li>Fluent English, listening, reading and writing, and Chinese is a plus.</li> <li>Well organised, good at prioritizing and tracking ongoing tasks.</li> <li>Methodical and thorough approach to work.</li> <li>Ability to stay calm under pressure.</li> <li>Hands-on and can-do attitude.</li> <li>A desire to show initiative.</li> <li>Good attention to detail.</li> <li>A great team player.</li> </ul><p><strong>Benefits</strong></p><p>This is a part-time position.
