The incumbent in this position is a competent, highly responsible individual who works independently in the coordination of administrative tasks and/or assignments which are complex in nature and very broad, requiring the integration of diverse functions.  Self-direction is required, and the incumbent must be capable of setting priorities and assisting in a variety of activities.  The work also involves the independent formulation, analysis and recommendation of changes in related policies, rules and regulations.  This position requires proficiency in the use of computer software for word processing, spreadsheets, PowerPoint presentations, and managing databases.  Travel is occasionally required.

 

Assists the supervisor and assigned Bureau by independently carrying out activities and directing special projects; schedule meeting, maintains calendars, and itineraries; coordinate and set up meetings, including preparation of materials, notifications and confirmations of all parties, as well as securing meeting room/facilities.  Serves as the timekeeper for assigned Bureau, and responsible for timely submission of leave without pay reporting.  Prepares memoranda, reports, letters, and spreadsheets as assigned by the Supervisor.  Act as the Personnel Liaison for a designated bureau. Plans, initiates, and completes administrative, clerical duties for the Bureau. Independently responds to telephone inquiries by referring calls, providing information and making appointments. Assists management and division associates in the management and day-to-day operation of the statewide program. Provides back-up to the office receptionist responsible for the DVR Headquarters security system and the training/conference equipment.  Maintains and reviews current DVR policies/procedures and rules and makes recommendations for possible revisions. 

 

 

 

Purchasing-Generates purchase orders as requested through the Division’s Central Supply System. Tracks budget allocations, encumbrances, expenditures and brief the supervisor. Analyzes and develops spreadsheet, graphs, and charts of data as required.  Prepares, tracks, amends, cancels or close-out purchase orders and p-card transactions.  Ensure that services and commodities are procured accurately and received timely. Responsible for reconciling all expenditures monthly.

Inventory and Supply-Orders, maintains and distributes supplies and materials as requested.  Serves as the property custodian for assigned Bureau.  Responsible for maintaining property records, and office supply inventory.

 

Travel Authorization Preparation/Submission-Coordinates, prepares and processes travel authorizations and reimbursements. Responsible for coordinating travel logistics and itineraries. Track travel expenditures and project estimated cost for planning purposes.

Archiving and Records Retention-Responsible for the disposal and retention of records and files within DVR Headquarters.

Public Records Request-Coordinate the Division’s compliance with Public Record Request (PRRs).  Receives and processes PRRs through appropriate stages, including notification to DOE about the request, assignment to appropriate staff for obtaining information related to request and processing requested information to requestor after final review by Supervisor and/or DVR Legal.
