The Work You Will Do:
This position is located within the Division of Regulation, Director’s Office. The Government Operations Consultant I position is responsible for handling the purchasing duties for the Division of Regulation. The purchase duties include preparing purchase requisitions in MyFloridaMarketPlace, and processing P-Card transactions for purchases. Overseeing the Fleet Operations including purchasing and disposing vehicles, authorizing repairs, processing accident reports, and maintaining the WEX system. Preparing and processing Contracts for various services and commodities.
Your Specific Responsibilities:
Duties include but are not limited to:
- Incumbent provides administrative assistance to the Division and Regional Offices with purchasing matters on an as needed basis including planning and coordinating the activities of buyers, purchasing officers, and related workers involved in purchasing materials, products, and services. Maintains records of all purchases and monitors for timely receipt of goods and payment to vendors using MFMP. Provides information and documents to the division’s budget liaison as needed. Assists in the fiscal year-end closeout procedures for the division relating to accounting and purchasing.
- Conducts independent analysis of existing contracts as needed and makes specific recommendations for the development and preparation of new contracts. Provides input on the impact to the budget processing of new/existing contracts. Reviews a variety of complex documents required by statute, rule and departmental policy and coordinates the integration of these documents to produce a statutorily compliant contract for final execution. Identifies problems with a contract and/or a contract file and notifies the respective contract manager. If applicable, provides appropriate procedures to correct the problem. Tracks all contracts during the review and approval process. Ensures retention and accurate filing of all updates and revisions to maintain complete and current contract files. Performs final review of all executed contracts and notifies contract manager with approval to pay invoices by flagging the Contract Administration System (CAS) or other method. Enters all pertinent contract actions into MyFloridaMarketPlace (MFMP).
