About the role

Overview

The CME Program Manager for the Office of Continuing Medical Education (CME) oversees the planning, coordination, and execution of accredited CME activities that support lifelong learning for physicians, faculty, and allied health professionals. Working closely with medical school departments, faculty, and affiliate partners, this role manages a diverse portfolio of educational programs, including grand rounds, case conferences, tumor boards, live conferences, symposia, faculty development courses, and online learning activities. The CME Program Manager ensures compliance with Accreditation Council for Continuing Medical Education (ACCME) accreditation standards, supports the identification of educational needs and practice gaps, and helps deliver high-quality educational experiences that enhance clinical knowledge, professional competence, and patient care outcomes.

Responsibilities

CME Accreditation Management:

  • Maintains and oversees the complete end-to-end management of serial conferences, single and multi-site events, and enduring materials of the accredited CME Program.
  • Support and promote the development, delivery and follow-up of CME activities and their impact as measured by programming metrics compliant with continued accreditation and advancement of the NYMC CME Program to a level consistent with ACCME commendation rating.
  • At the direction of the Director and VC, generates internal reports for senior management; an annual Office of CME report; external reports, documentation and correspondence in connection with ACCME accreditation compliance (e.g. PARs, ACCME year-end reports, etc.); other reports and data visualization as requested.
  • Under the direction of the VC, contributes to the build-out and maintenance of a central MS Office SharePoint site that supports data management, maintenance, and storage compliant documents according to institutional policy and procedures as well as external accrediting agencies.
  • Contribute to the development- and/or identification of quality teaching sessions and workshops for CME activity planners and directors; oversee the training of those new to the needs system who are charged with CME activity planning; document training annually.
  • Engage in regular professional development to ensure continued skill-building and current knowledge, including and not limited to, ACCME CME Coordinator Certification, eeds CME platform training, AMA and MOC standards, etc.

CME Office Management:

  • Under the direction of the Director and VC, supports the work of the CME Committee by overseeing annual member appointment letters; meeting planning, invitations, and agenda; attendance and meeting documentation; documentation and the committee's compliant mitigation of CME conflict of interest (COI) disclosures prior to delivery of the CME activity.
  • Assist the Director and VC in the day-to-day administrative functions and operations of the Office including central email, calendar, and project management; provide administrative back-up to the Director as needed.
  • Organize, support, and document CME activity planner and director meetings and training sessions.
  • Generate invoices for CME educational activities; collaborate with central academic administration to ensure collection of fees, reimbursements, processing of payments, projection of annual income, and year-end fiscal reports.
  • Maintain centralized directory of stakeholders supporting smooth communication and coordination among all constituents and the CME Office.
  • Assist the Director, VC and activity planners in identifying and obtaining extramural grants and funding that aligns with the content, goals and outcomes of CME activity planners and directors and further supports NYMC's CME activities and the work of the CME Office.
  • Provide general administrative support to the VC and Director, as needed.

Office of CME Liaison:

  • Serve as a visible, on-site, central liaison to CME activity planners, course directors, coordinators, and faculty throughout the NYMC system; attend CME educational events as onsite support on occasion and as needed.
  • Serve as the liaison to Public Relations in connection with the Office of CME website ensuring accuracy of content and updates, communications to the NYMC community, and advertisement of educational programs.
  • Assist the CME activity planners, course directors, coordinators and faculty in the development of high-quality CME activities in assembling accurate and timely proposals for accredited CME that adheres to ACCME requirements and standards.
  • Assist that VC in liaising with departmental representatives, Joint Providers, and commercial supporters.
  • Other duties as requested by the VC and/or Director.
