POSITION SUMMARY:
Responsible for making and scheduling patient appointments in a timely manner, following physician specialties and protocols and processing referrals.
ESSENTIAL RESPONSIBILITIES:
- Schedules, coordinates, and reschedules appointments for new and established patients.
- Responds to appointment requests received via multiple applications (phone, text, website, fax).
- Coordinates notification of changes in appointments or data to appropriate staff.
- Completes new patient registration process.
- Ensures patients are scheduled in accordance with physician protocols and within proper specialty.
- Updates and maintains patient demographics as needed.
- Reschedules bumped and cancelled appointments as necessary.
- Sends flags to MA/Provider regarding patient messages and inquiries.
- Reviews incoming referrals.
- Accesses system to determine if the patient has already been scheduled for an appointment.
- Contacts patients who have not been scheduled for an appointment and completes the new patient registration process if the patient is not an existing patient.
- Coordinates notification of changes in appointments or data to appropriate staff.
- Sends text messages to patients, clinic team, and medical records for various reasons: scheduling and rescheduling appointments, copies of insurance cards, medical records requests, RX refill requests, etc.
- Assists in covering team members work when others are out.
- Works overtime hours as needed.
- Adheres to company policies as described in employment handbook and company work rules.
- Participates in professional development activities and opportunities.
- Attends staff meetings and others as required.
- Maintains confidentiality of patient account information in accordance with HIPAA guidelines and NMOA policy
- Maintains regular and reliable attendance
- Performs other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:
To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. The requirements listed below are representative of the knowledge, skills and/or abilities required.
- Exceptional customer service and critical thinking skills.
- Knowledge of current basic medical terminology, coding, eligibility and prior authorization knowledge and office procedures.
- Strong computer and phone skills, including multi-line phones.
- Ability to establish and maintain effecting working relationships with staff, co-workers, patients and vendors.
- Ability to effectively communicate with multiple departments to facilitate a seamless process for the patient.
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, decimals and percentages.
- Ability to understand, read, write and speak English. Ability to understand and speak Spanish preferred.
