Executive Assistant to the CEO

The Executive Assistant is primarily responsible for providing support to the Chief Executive Officer and the President & Chief Financial Officer of Seer.
Key duties will include complex calendar management, coordination of highly important meetings with customers, investors and board members, planning both onsite and offsite events, assisting the executive team with urgent travel needs, timely and accurate filing of executive expense reports, and other tasks as needed to support the executive team.
This role requires the ability to work quickly and calmly under pressure, the ability to prioritize multiple urgent tasks, an untiring professional demeanor, excellent communication abilities, and exceptional organization and time management skills.
Responsibilities:
- Calendaring: Provide complex calendar management for the CEO, President & CFO, as well as other executive team members, including scheduling board meetings, investor meetings, and other critical meetings, as well as internal meetings and calls. Regularly audit the Executive’s calendar to ensure that it is accurate and up to date, and that important details such as location or zoom link are not missing from calendar invites. Persistently remind Executives and any meeting attendees of anything needed from them in order to finalize pending meetings and keep an eye on the Executives’ whereabouts throughout the day to verify that everything is running according to plan. Must have the ability to quickly but strategically make decisions whenever last-minute scheduling issues arise and must be willing to promptly solve unexpected calendaring issues even during irregular hours when needed.
- Travel: Coordinate executive travel for customer meetings and events, regularly make hotel bookings for Executives, keep an eye on updates to the Executives’ flights and make scheduling adjustments if needed when flights are running late, proactively ask if travel arrangements will be required for guests such as booking hotels, promptly search for alternative travel accommodations when there is a cancellation or delay, assist the Executives with filing travel expense reports, etc.
- Events: Plan onsite board meetings, offsite board retreats, important dinners, customer meetings and investor meetings. Ensure that all details are taken care of well in advance, such as finalizing a location, negotiating contracts with the venue, confirming the attendee list and checking in with invitees that have not responded within a reasonable amount of time, placing catering orders while taking care to accommodate any dietary restrictions, considering A/V requirements and ensuring the meeting hosts have the contact information of whoever to contact in case of technical issues or any other issues. Must be available throughout the entirety of key events, including those that are taking place offsite, in case any issues arise.
- Hospitality: The EA will often be the first point of contact for many guests and will regularly act as one of the faces of the Company. Warmly greet guests, show them to the appropriate meeting rooms, make sure they are offered refreshments and are provided meals when the meeting continues normal meal hours, and direct meeting hosts to ensure that they or their team properly return meeting rooms to their original organized and clean state after the meeting.
- Office Supply/Snack Ordering/Lunch Catering: Take inventory of basic office supplies and snacks, keep track of special orders, place weekly supply orders with vendors, manage lunch catering, and manage the day porter to re-stock office supplies and snacks.
- Miscellaneous: Various other tasks and projects requested by executive team. Regularly update the Executive when there are delays in timeline or if any issues are preventing a project from being finalized.
