Job Summary:
As a Project Manager Assistant, you will provide vital support to the project management team in planning, executing, and closing various projects within the organization. Your responsibilities will include administrative tasks, coordination of project activities, communication with stakeholders, and ensuring project documentation is up-to-date and organized. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Administrative Support:
- Assist with scheduling meetings, appointments, and project milestones.
- Prepare and distribute project-related documentation.
- Maintain project files and databases, ensuring accuracy and accessibility of information.
- Handle correspondence and communications related to the project, including emails, phone calls, and inquiries.
Project Coordination:
- Collaborate with the project manager to develop project plans, timelines, and budgets.
- Assist project managers with quotes, takeoffs, entering data into quote system.
- Coordinate with team members to ensure tasks are completed on time and within budget.
- Arrange logistics for project-related events, such as meetings, workshops, and presentations.
- Reserve and assign equipment to team members using specific software.
- Facilitate communication between project team members, ensuring alignment on objectives and priorities.
- Assist in preparing presentations and materials for project meetings and reviews.
Documentation and Reporting:
- Maintain project documentation.
- Generate regular progress reports and status updates for project stakeholders.
- Assist in analyzing project data and metrics to identify trends and areas for improvement.
- Ensure compliance with project management methodologies and standards.
Qualifications:
- Proven experience in administrative support or project coordination role.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in project management software and Microsoft Office suite.
- Ability to multitask and prioritize tasks effectively.
Working Conditions:
- This position typically operates in an office environment.
- Occasional travel may be required to attend meetings or events.
- Flexible working hours may be necessary to accommodate project deadlines and team meetings.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
