The Role
We are seeking a part-time Office Manager in our Chicago office who will be responsible for our Chicago (in-person) and NYC WeWork (remote) offices. This role is integral to cultivating Wpromote culture and playing an active role in employee experience and engagement. You are an office ambassador, and you will interact with visitors, clients, vendors, and employees at every level, every day. The ideal candidate will be a motivated, detail-oriented individual, and always looking to lend a helping hand. They will know how to prioritize work while understanding the balancing act of managing multiple projects simultaneously. While we are a remote-first company, we have a small group of employees who go into the office consistently.
The Office Manager will be expected to be in the Chicago office Monday through Thursday each week and as needed on Fridays, and we expect this person to work 20-25 hours per week. The Office Manager will report directly to our Senior Director of People Operations who is located on the West Coast.

The anticipated hourly rate for this role will range from $28-$35/ hr, based on consideration of a wide array of factors unique to each candidate, including but not limited to skill set, years and depth of experience, education and certifications, competitive benchmarks, scope of responsibility, market dynamics, geographic location, and respective state’s salary threshold for exempt employees. At Wpromote, pay ranges are subject to change and are based on specific market medians for similar jobs according to third-party salary benchmark surveys. Individual pay within that range can vary due to skills, experience, and available budget. The total compensation package for this role will include benefits (listed above).

You Will Be
- Responsible for managing office services by ensuring office operations and procedures are organized for our Chicago (in-person) and NYC (remote) offices
- Working closely with the POPS team and local employees on office requests, needs, and engagement
- Working with building management (Chicago) and/or WeWork (NYC) to submit work orders, create keycards, register guests, and coordinate onsite meetings
- Providing general support to all visitors, clients, and vendors
- Opening the Chicago office and ensuring that everything is in order
- Ordering and setting up breakfast/lunch for in-person client and team meetings
- Ordering, receiving, and unpacking all deliveries for the Chicago office, including office supplies, food, and drinks, and continually ensuring we have the appropriate inventory
- Ordering office supplies, food, and drinks for the NYC office, coordinating with onsite employees as needed
- Managing monthly expense reports for all Chicago and NYC office expenses through Expensify
- Planning fun and engaging office events and team-building activities, including weekly lunch and monthly happy hour
- Maintaining the aesthetic integrity of the Chicago office, conference rooms, and kitchen
- Managing the conference room calendars and office/desk booking for visitors
- Assisting with other Wpromote locations' office operations and remote employee requests on an as-needed basis
- Providing support on miscellaneous office projects regarding our hybrid work environment
- Supporting IT/HR with new hires and current employee/vendor management as needed
You Must Have
- 2-3 years of administrative or office management
