About the role
<p><strong>Your tasks as a Sales Operations Coordinator:</strong></p><ul><li>Manage the end-to-end order-to-delivery process for assigned distributors, ensuring smooth coordination between customers, logistics, finance, and internal teams</li><li>Handle daily communication with distributors regarding availability, orders, reservations, and delivery planning</li><li>Prepare quotations within approved guidelines and process sales orders and confirmations</li><li>Follow up on order changes, delays, and customer requests</li><li>Support credit control follow-up in cooperation with Finance</li><li>Coordinate and book shipments with logistics teams and external partners</li><li>Prepare and manage export and shipping documentation</li><li>Ensure accurate and timely invoicing (commercial and pro forma invoices)</li><li>Follow up on shipment-related costs and administrative processing</li><li>Maintain accurate data in ERP systems and ensure correct order tracking</li><li>Support sales reporting, order intake reporting, and month-end closing activities</li><li>Monitor outstanding orders and ensure timely resolution of issues</li><li>Ensure compliance with export regulations and internal procedures</li><li>Collaborate closely with Sales, Finance, Logistics, and Operations teams</li><li>Contribute to continuous process improvement and efficiency initiatives</li></ul><p> </p>
<p><strong>The ideal profile of the Sales Operations Coordinator:</strong></p><ul><li>Bachelor's degree or equivalent experience</li><li>At least a first experience in sales administration, order management, logistics coordination, or export-related roles</li><li>Strong communication skills with the ability to interact professionally with customers, suppliers, and internal stakeholders</li><li>Highly accurate and detail-oriented, especially when handling data, documentation, and deadlines</li><li>Good organizational skills and the ability to manage multiple priorities in a fast-paced environment</li><li>Problem-solving mindset with a proactive and service-oriented attitude</li><li>Comfortable working with ERP systems and MS Office tools; experience with reporting tools is a plus</li><li>Strong team player who can also work independently and take ownership of tasks</li><li>Fluent in English and French; Dutch is an advantage</li></ul><p> </p>
