ESSENTIAL FUNCTIONS:

Supervisory

  • Supervises staff with direct patient contact and administrative-related activities. 
  • Maintain patient treatment schedules consistent with the needs of the department.
  • Ensures smooth patient appointments from arrival to departure.
  • Runs reports to ensure referrals are contacted within a certain timeframe.
  • Assists in training and orientation of new staff.
  • Demonstrates effective communication methods, either written, verbal, non-verbal, or electronic. 
  • Works closely with the Front Desk Lead to address any clinical concerns related to scheduling, including coverage for clinical PTO, illness, and access to NP and FUVs.
  • Exercises good judgment in communication regarding timing, circumstances, place, and person.
  • Makes effective decisions that reflect clear and logical thinking. Demonstrates flexibility and works proactively in examining new approaches in response to changing organizational objectives.
  • Identifies and responds appropriately to both internal and external customer needs utilizing available resources. Keeps composure under stress. Is approachable and compassionate.
  • Prioritizes work activities based on clinic demands to complete assignments within designated timeframes with little to no supervision.
  • Observes policies regarding breaks/meals, time off, and calling in sick.
  • Ensures duties are completed correctly and in a timely manner. Mentors and supports central scheduling staff. 

LEAD SCHEDULER ESSENTIAL FUNCTIONS:

  • Schedules patient appointments for visits, diagnostic tests, referrals and/or consults, and surgical procedures. Responsible for obtaining referral and/or insurance authorization/pre-certification approvals from the health plan or primary care physician's office. 
  • Documents patient calls via electronic medical record phone notes. 
  • Financial responsibilities may include but are not limited to, verifying guarantor information and collecting any monies due at the time of service. Provides an efficient flow of clinical information via paper and electronic medical records. Works closely with patients, providers, and hospital facilities. 
  • Demonstrate and apply knowledge of medical terminology and high proficiency in general medical office procedures, including HIPAA regulations. 
  • Communicate any insurance changes or trends among the team. 
  • Maintains a level of productivity suitable for the department. 
  • Clearly document all communications and contacts with providers and personnel in standardized documentation requirements, including proper format. 
  • Other duties as assigned.

$23-26 Per hour

LEAD SCHEDULER REQUIRED QUALIFICATIONS AND SKILLS:

  • Education: High school diploma. 
  • 2 years of surgery scheduling/prior authorization experience required. 
  • Must have excellent verbal and written communication skills.  
  • Requires effective customer relation skills and ability to organize and interpret data.  
  • Requires good judgment, tact, diplomacy, and ability to problem solve.  

LEAD SCHEDULER DESIRED QUALIFICATIONS AND SKILLS:

  • Previous surgery scheduling experience preferred. 

LEAD SCHEDULER WORKING CONDITIONS:

  • Typical business office environment 
  • Possibility of local travel 
  • Constant viewing of a computer monitor, mousing, and typing 
  • Frequent standing, walking, and sitting. 
  • Frequent stooping, lifting, carrying, and pushing/pulling 10 pounds or more. 
  • Occasionally lift and/or move up to 50 pounds. 
  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, and the ability to adjust focus. 
  • Hours of business are Monday – Friday from 8:00 a.m. to 5:00 p.m. Must be able to work early, late, and long hours, as needed, to meet the essential functions of the job.
