Reports to the Administrative Director of the Clinical and Translational Science Institute (CTSI). The Project Manager provides high-level administrative and operational support to the Administrative Director and Director of the CTSI. This role is instrumental in ensuring the smooth execution of cross-functional projects, strategic initiatives, and center-wide operations that advance the mission of the CTSI. The project manager assists with program and project management, communication, tracking of strategic priorities, event coordination, reporting, and continuous improvement efforts. The ideal candidate will be detail-oriented, organized, proactive, and able to manage multiple priorities in a fast-paced, mission-driven environment.

Project & Program Coordination (35%)

  • Coordinates and monitors the status of key projects and strategic initiatives led by the Administrative Director and Director.
  • Develops and maintains project timelines, deliverables, meeting agendas, and status reports.
  • Assists in the execution of center-wide initiatives, ensuring milestones and deadlines are met.
  • Supports implementation and tracking of continuous improvement and business continuity initiatives.
  • Participates in the planning, coordinating, implementing, and managing of CTSI projects, initiatives, and operations.
  • Participates in data collection and analysis to support and promote research, education, business, and administrative functions for the CTSI.

Administrative and Operational Support (30%)

  • Prepares briefing materials, presentations, and communications on behalf of the Administrative Director.
  • Supports strategic planning efforts, governance documentation, and committee coordination.
  • Coordinates internal and external stakeholder meetings, including scheduling, materials preparation, and follow-up.
  • Maintains organized systems for records, communications, and files related to center operations.

Reporting & Compliance (20%)

  • Assists in publication tracking and publication compliance reporting.
  • Supports annual reporting to the NIH, ERIK, and department-specific initiatives.
  • Helps maintain up-to-date and accurate records for all compliance-related tracking systems and documentation.

Communication & Stakeholder Engagement (10%)

  • Prepares internal communications, announcements, and updates in coordination with leadership.
  • Supports engagement with university partners, external collaborators, and community stakeholders.
  • Helps coordinate the dissemination of materials related to CTSI initiatives and programs.

Financial and HR Process Support (5%)

  • Assists with tracking and documentation related to budgeting, purchasing, and financial planning.
  • Coordinates onboarding and training logistics for new staff members.

Supports employee engagement and performance tracking activities as directed.

Qualifications:

Required:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 2 years of relevant experience required. 2-4 years of relevant experience preferred.
