JOB PURPOSE:

The purpose of this position is to perform a variety of advanced office/administrative support duties which require a thorough knowledge of a function or functions within a department or work unit. This position may be responsible for monitoring business affairs, personnel matters and interpreting policy and procedures. Incumbents typically work at a high degree of independence with general direction and supervision received from a department supervisor, manager, assistant/associate director or Dean of the College of Medicine. This position serves as the liaison between the College of Medicine Departments, Hospital, Cancer Center, Library, and Grant funded programs within the University. Reports directly to the Co-Director of Clinical Trials & Clinical Trials Unit. The Research Assistant will conduct study related activities as described below under Nature and Scope and Principal Accountabilities section.

NATURE AND SCOPE:

Internal contacts may include senior administrators, faculty, students and staff. External contacts may include vendors, consultants and the general public.

PRINCIPAL ACCOUNTABILITIES:

  • Directs the workflow of the office. Monitors programs in the Office of the Co-Director of Clinical Trials & Clinical Trials Unit including the BFPSP, the NIH Collaboration, the MSSRP for students, the monthly newsletter among others. Additionally, develops and implements office procedures and practices.
  • Prepare reports, assist with grant writing, data entry, grant budget management as well as providing support for clinical trials.
  • Interfaces with Faculty Leadership Programs, faculty and alumni, faculty fellows, graduate and professional students, as well as COM administrators, deans, faculty, managers, supervisors and department chairs.
  • Prioritize workload to meet work unit operations
  • Coordinates and assists in conducting research pertaining to the grant productivity of faculty. Keeps abreast of current developments and analyzes the current status of innovation and literature.
  • Take on the role of secondary writer and researcher on high-value content projects. Create research-driven content on marketing, customer care, advertising, and other trends in business. Work with product marketing, design, and external partners to generate new ideas and content opportunities.
  • Works with the Co-Director of Clinical Trials & Clinical Trials Unit to prepare confidential correspondence and reports. Determine and makes needed corrections to produce error-free final copy. Assembles data and composes a variety of correspondences for department.
  • Design office filing systems and files correspondence, and other items according to categorized order. Search files and other information sources to answer questions or assemble data for supervisor and other staff. Use automation to remind supervisor and others of scheduled events, deadlines and other pending matters.
