Summary
The HR Administrative Assistant serves as a key support member of the HR department, combining front desk responsibilities with expanded administrative and data coordination tasks. This role is responsible for ensuring a professional first point of contact for visitors and callers, maintaining HR records, supporting on-boarding activities, and handling critical data entry tasks related to temporary agency employees. The ideal candidate is highly organized, detail-oriented, and able to maintain confidentiality while managing multiple priorities.
Responsibilities
• Greet and direct visitors in a courteous and professional manner, determining the purpose of their visit and guiding them appropriately.
• Operate the telephone switchboard to answer, screen, forward calls, provide information, and take messages.
• Maintain a welcoming and orderly front desk environment that reflects the organization’s professional standards.
• Assist the Training Supervisor in creating employee identification badges, in
• Oversee data entry of temporary agency employees into Dayforce, including uploading profile photos and entering personal details including photo capture and timely data entry.
• Input bill rates and associated staffing agency information into the system with a high level of accuracy and timeliness.
• Coordinate with staffing agencies to ensure required data is submitted correctly and promptly.
• Provide clerical support for HR events, trainings, and other departmental activities as needed.
• Collaborate with supervisors to assign employee lockers and keep accurate locker records.
Secondary
• Prepare new hire orientation packets, ensuring all required documentation is complete and up to date.
• Organize, file, and maintain employee records in accordance with company policy and legal requirements, ensuring accuracy and confidentiality.
• Maintain and update shared HR documents, such as sign-in sheets and the internal telephone directory.
• Assist with ensuring compliance with HR processes and documentation standards.
• Assist in maintaining the HR monitors with current information.
Skills
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
Education & Experience
• HS Diploma/G.E.D Required
• Associate's Degree Preferred
