Located in Danville, KY, the historic, picturesque 150-acre campus is 30 miles from Lexington, in the famed Bluegrass Region of Central Kentucky.

The Administrative Assistant for the Office of Admission will provide direct administrative support to the Director of Admission and other members of the admission office staff, along with other duties in support of the daily operations of the admission office. This position will report to the Director of Admission.

 

Essential Job Functions:

  • Provide administrative support to the Director of Admission, including but not limited to scheduling, correspondence, and travel coordination.
  • Serve as the primary point of contact for visitors to Boles Hall, ensuring a welcoming environment, receiving student visitors and their families and other guests of the College.
  • Manage phone systems, support the management of the office email account, and oversee the sorting and distribution of daily mail.
  • Maintain the cleanliness and organization of the lobby area for the comfort of visitors and staff.
  • Supervise and train student employees.
  • Oversee the reservation system for Admission fleet of vehicles.
  • Maintain an organized inventory of office supplies, travel documentation, and other essential materials.
  • Support the preparation and distribution of materials for orientation, retreats, workshops, meetings, and presentations.
  • Enter and manage data in the Admissions CRM system, including processing returned mail, updating prospect information, consolidating and merging duplicate records, and other database-related tasks as assigned. Contribute to the processing of first-year and transfer admission applications.
  • Supervise student employees, including timekeeping.
  • Demonstrate an appreciation for and sensitivity to a diverse academic community, fostering an inclusive environment for students, faculty, and staff from a variety of social, economic, cultural, ideological, racial, and ethnic backgrounds.
  • Support admission staff in the coordination and execution of on-and-off campus programming and events

Marginal Job Functions: 

  • Attend weekly meetings with the admission staff and report on pertinent information related to responsibilities.
  • Enthusiastically participate in all staff activities.
  • Contribute to the overall success of the department by performing all other essential duties and responsibilities as assigned.

 

Qualifications

Education and Experience 

            High School diploma required. Prior administrative experience required.

  Knowledge and Skills

 Knowledge of relational databases and CRM systems is helpful, as is an understanding of the admission recruitment cycle. Organizational skills and attention to detail are critical. Ability to work independently and on a team is necessary. Empathy and humor are crucial.

Physical Requirements:

  •             Limited pushing, pulling, lifting. Lifting would not exceed 20 lbs.
  •             Mobility on campus necessary.
