GENERAL SUMMARY

Under general supervision and reporting to the VP of NDT and Metrology Services, The Administrative Assistant/Receptionist performs administrative duties supporting the business and supports various projects as assigned.

ESSENTIAL JOB FUNCTIONS - Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation. 
  • Welcome visitors in the office and over the phone
  • Collect visitor authorization forms and complete MK Denial checks prior to permitting entry
  • Assign visitors appropriate badge
  • Administrative office maintenance
  • Collect, sort and scan the mail daily
  • Receive deliveries
  • Handle all phones - both incoming and outgoing calls
  • Scanning, filing, and data entry
  • Sending Appointment Reminders as required
  • Maintenance of general office supplies/groceries, etc.
  • Run errands as required
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Provides information by answering questions and requests.
  • Maintains hard copy and digital files
  • Spreadsheet/Report creation and revision
  • Audit prep
  • Performs other duties as assigned.

Skills: 
  • Proficiency with MS Office, and Excel in particular, preferred
  • General policy and procedures applicable to Business Administration
  • Fluent English – reading and writing is required
  • Professionalism, integrity, and exceptional attention to detail
  • Strong decision-making skills; excellent analytical skills and professional judgment
  • Excellent interpersonal, written, and verbal communication skills
  • Computer Savvy; self-directed and motivated to learn new software
  • Timeliness, responsiveness, and reliability
Ability to: 
  • Ensure accuracy of data and information
  • Understand, interpret, apply, and explain applicable policies and procedures
  • Prioritize and escalate matters to supervisor as appropriate
  • Prepare clear, concise, and complete reports
  • Collect, obtain, evaluate, and interpret technical and specialized information correctly
  • Maintain confidentiality of company documents and records
  • Exercise discretion in handling sensitive information
  • Establish and maintain effective working relationships
  • Pass pre-hire background check including drug screening, National criminal conviction, and DMV screenings

EDUCATION AND EXPERIENCE
  • High School Diploma required; AA or BS preferred
  • 2-3 years of Administrative experience required
  • Any combination of education and experience may be considered.

LICENSES, CERTIFICATES & OTHER REQUIREMENTS 
  • Fluent English – reading and writing is required 
  • Valid Drivers’ License 
  • Valid Auto Insurance 
  • Pass pre-hire background check including DMV and credit screening. 
  • Pass Pre-hire Drug Screening

WORKING CONDITIONS
This position is primarily remote; however the DFW area is strongly preferred.
