Job Description
The part-time specialist of Clinical Documentation Compliance provides administrative and clerical support to the Manager of Clinical Coordination/Education to ensure the effective coordination of clinical education within the Nursing Department. This role is primarily responsible for managing records, processing compliance documentation, maintaining communication with clinical partners, and supporting the logistical aspects of clinical placements. The specialist plays an essential role in ensuring that students and faculty meet facility requirements and that departmental operations run efficiently.
Key Responsibilities
Maintain and update databases related to student compliance (e.g., Complio, myClinical Exchange, Canvas).
Track and monitor student/faculty requirements (immunizations, background checks, drug screens, certifications, onboarding paperwork) and notify students/faculty of deficiencies.
Assist in preparing, distributing, and collecting onboarding documents.
Coordinate scheduling logistics for clinical placements as directed by the Manager.
Assist students course scheduling as directed by the Manager.
Prepare correspondence, reports, spreadsheets, and meeting materials.
Maintain accurate records of contracts, agreements, and expiration dates; assist in routing renewals.
Communicate with clinical site contacts regarding required documents, deadlines, and updates.
Assist with onboarding faculty to compliance systems and clinical site requirements.
Support departmental accreditation and regulatory reporting by maintaining organized files and records.
Perform other administrative duties as assigned to support the Nursing Department.
Required Qualifications
High school diploma or equivalent; associate degree preferred.
Strong organizational skills with attention to detail.
Proficiency in use of a personal computer and current software applications including but not limited to Microsoft Office Suite (Word, Access, Excel, PowerPoint, and Outlook) and database systems.
Ability to manage multiple priorities and meet deadlines.
Strong written and verbal communication skills.
Demonstrates ability to take initiative, prioritize tasks, and problem solve effectively.
Preferred Qualifications
Experience with clinical compliance systems (Complio, myClinicalExchange).
Familiarity with healthcare or nursing education operations.
Knowledge of contract management or record-keeping processes.
