The Pharmacy Technician – Inventory Control 1 is responsible for managing the pharmaceutical inventory in the assigned area including purchasing of pharmaceuticals and related products, oversight of receipt and placing these items in stock, optimization of pharmacy inventory. This position ensures that all pharmaceutical products are appropriately labeled with barcodes including repacking of products for patient administration. This position assumes primary responsibility for the organization and cleanliness of drug storage areas. The Pharmacy Technician – Inventory Control 1 will assist the automation coordinator or individual in similar role with respect to Automated Dispensing Cabinet (ADU) inventory management including the maintenance of controlled substance inventory and handling the request for an addition of new items to the pharmacy inventory. The Pharmacy Technician – Inventory Control 1 shall also assist in training personnel on inventory handling.
1. Job Specific Duties
a. Maintains and protects confidentiality regarding all aspects of patient care to include patient medication orders and related information.
b. Maintains Pharmacy inventory to assure that medications are available to patients when they need them.
c. Order, receive, check in and stock medications from wholesaler, direct order (when not available from wholesaler) and third party companies (verifying proper licensure before purchasing from third party).
d. Communicate with drug representatives to discuss new products, drugs on contract, drugs not on contract and availability of drugs.
e. Work with the auditor and data processing to resolve patients billing issues.
f. Maintain records for medications borrowed from and loaned to other facilities.
g. Order office supplies for the department and fill out check requests and send to accounting.
h. Assists the Director/Pharmacist with special projects
i. Train staff on Safety Policies and procedures (Safety Trainer). Conduct Hand Hygiene Audits and report to infection control.
j. Mentor new technicians and technician students. Train them on all technician duties.
k. Create technician work schedule of each month.
l. Assist director with technician annual performance evaluations.
m. Follows policy and procedures in the seven areas of Environment of Care to include; safety, security, hazardous material/waste, emergency preparedness, life safety, medical equipment and building utility systems.
n. Communicate with employee health nurse to order yearly vaccinations for employees.
o. Maintain drug recall records and report to the Safety Officer monthly.
p. Educate the pharmacy staff on hospital and departmental safety policies and procedures.
q. Prepares verification of use forms, drug supply and maintains PC-based inventory database files for Controlled Dangerous Substances (CDS) that are maintained as floor stock in patient care areas; participates in the daily physical count and reports reconciled pharmacy stock discrepancies to the Staff Pharmacist/ Pharmacy Director immediately.
r. Assists accounting with audit trails by making copies of requested invoices.
s. Order and maintain records for bioterrorism drugs. Meet yearly with safety officer to see how much grant money we have to spend to replace drugs that have expired.
t. Maintain inventory and records for the Vaccine for Children Program so that we can continue to receive Hepatitis B vaccine free from the state.
u. Maintain inventory and records for the Shots for Tots state program.
v. Perform narcotic audits. Track narcotics from ordering, receiving in inventory, adding to Pyxis Narcotic Station, removal from the Narcotic station, filling the Pyxis machines on the nursing units, removal by nursing from the Pyxis machine to administering to the patient. Notify Pharmacy Director/PIC of any variances immediately.
w. Assists in yearly drug inventory. Prepare inventory sheets for each nursing unit and count the Material Management inventory yearly.
x. Maintain log for offsite storage of records. Box records when file cabinet is full and send to offsite storage.
y. File monthly records including Pharmacist Daily Sign in Sheet, Pyxis Narcotic Inventory daily reports, Pyxis nursing unit narcotic fill sheets, Pyxis fill sheets (non-narcotic) cart fill sheets, manual charge sheets, Ancillary Reports, nursing unit inventory and resolved Narcotic Discrepancy reports.
z. Under the supervision of Director of Pharmacy, will participate in all activities of the pharmacy department that involve the inventory management of drugs, medication storage areas and department related supplies.
