Job Summary

The Facility & Guest Services Lead is responsible for assisting in upholding the world class facility appearance and maintenance of the EC and supporting a seamless onsite experience for all customer engagements; including but not limited to briefings, engagements, tours, events, summits & internal meetings. This role supports the Facility & Guest Services Manager to promote and facilitate communication cross-departmentally to ensure that the EC is always ready for Microsoft’s Executive Level Customers. Attention to detail and ability to prioritize multiple requests are key elements to this role.  Additionally, the CET Facility & Guest Services Lead is responsible for supporting the safety of the EC.

 

Essential functions & responsibilities:

  • Support all briefings, engagements tours, events, summits & internal meetings.
  • Prepare all Standard and Non-standard engagement support, including Name Cards, Agendas, Flags, Welcome Kits, Pads & Pens, and others. 
  • Ensure that all rooms are set up accordingly and breakdown rooms after guests have departed.
  • Communicate with internal teams to assist in setup, cleaning & last-minute requests.
  • Monitor, track inventory & maintain adequate stock of amenities.
  • Assist with projects, track applicable metrics & present the data to manager.
  • Assist host with shipping & receiving of packages on behalf of customers & clients.
  • Facility assistance, daily walkthroughs consisting of the monitoring and observation of day-to-day ongoing facility appearance & functionality. Including but not limited to issues related to paint, carpet, windows, flowers, plants, furniture, cleaning, repairs, etc.
  • Coordinate, schedule & communicate furniture requests, changes, moves & inventory updates via diagrams, ensuring completion to the requestor’s specification.
  • Assists the Facility & Guest Services Manager in ensuring the safety of our facility.  Including but not limited to, assisting in emergency situations, as well as, updating safety documentation. 
  • Assist with development and implementation of operational processes & procedures.
  • Organize and maintain essential information and resources in OneNote, Teams sites, and SharePoint. 
  • Build strong relationships with clients, Compass teams, internal and external vendors, as needed. 
  • Escalate issues as they arise appropriately and through proper administrative channels & escalation paths. 
  • Additional duties as assigned

 

Qualifications: 

  • Bachelor’s degree preferred
  • Hospitality experience preferred
  • Ability to think quickly & accurately, showing initiative & sound judgment
  • Highly proficient in MS Office including Outlook, Word, Excel, PowerPoint, etc.
  • Strong interpersonal & customer service skills
  • Ability to interact with all levels of business clients
  • Excellent communication skills are a must (both verbal & written)
  • Comfortable communicating with a global community, i.e. various cultures & languages
  • Must be process oriented yet flexible
  • Self-motivated & adaptable.  Independent, yet able to follow guidelines well
