Position Purpose:

Reporting to the Human Resources Generalist, the incumbent is responsible for the execution and smooth running of various processes and activities related to human resources, including customer service, recruitment and staffing processes, orientation and integration of new employees, management of the performance appraisal process, and management of HR information systems, explanation and application of HR policies and various collective agreements for administrative staff. Act as a resource person to supervisors and managers for processes related to immigration, postdoctoral fellows, research support staff. Acts as the main liaison between central human resources and the faculty.

In this role, your responsibilities will include, among others:

  • Information and customer service: Provide information and guidance to Faculty supervisors, researchers and administrative staff on various human resources questions,, activities and processes, including hiring, benefits, leave management, performance appraisals, and others. Handle human resources related inquiries via email, in person, by phone, or via the human resources information system (Workday).

  • Application of policies and regulations: Act as a resource person regarding the application and explanation of the University's human resources collective agreements and regulations for administrative staff (including SSUO, PIPSC, postdoctoral fellow employees, non-unionized research staff, casual employees as well as Work-study students). Determine proper employee categories and statuses upon hiring to ensure proper coding of employee statuses and eligibility for associated terms and conditions of employment.

  • Human resources operations: Coordinate and ensure the proper execution of administrative steps in the recruitment and hiring process, including job posting, screening, interview logistics, and new employee onboarding and integration. Ensure proper administrative follow-up of staff members' life cycle, including probationary periods, performance, leave management, and employee departures. In consultation with the HR Generalist, coordinate the Work-Study process (creation and follow-up of RTE student contracts) to support the operational needs of the Faculty's departments and schools. Identify and analyze problematic issues related to operations and propose appropriate solutions to increase efficiency and effectiveness and improve service quality.

  • Compensation and pay: Process contract requests and validate the information required to prepare offer letters for different employee groups. Initiate, submit and follow up on hiring processes in the compensation system according to strict deadlines while ensuring compliance with established policies and minimizing as much as possible the negative impact on employees (e.g. breach of continuous service, pay or employee benefits). Verify salary adjustments and retroactive pay following ratification of collective agreements. Verify payroll, salary and position data for administrative staff. Liaise with the faculty’s finance team and Payroll Services to report and have corrected any errors or anomalies observed.

  • Reporting: Pull and analyze various reports of simple or complex nature, according to a fixed operating schedule and on an ad hoc basis, to support day-to-day human resources operations as well as management decision-making in line with the faculty’s strategic objectives (e.g. probation monitoring reports, contract end and renewal reports, sa
