As our Office Manager, you’ll ensure smooth, efficient operations so that our clinical staff can focus on what matters most—caring for children. You’ll lead administrative and front desk operations, manage staff, optimize office workflows, and provide excellent service to patients and families.

Key Responsibilities:

• Manage daily administrative operations: scheduling, patient check-in/out, billing, and insurance coordination
• Hire, train, and supervise front desk and administrative personnel
• Maintain strict compliance with healthcare regulations, including HIPAA
• Troubleshoot patient inquiries and resolve service issues promptly
• Work closely with providers to streamline office processes and reporting
• Manage office budget: handle expenses, vendor relations, and supplies inventory
• Generate regular reports on office metrics: patient volume, billing, revenue, no-shows, etc.
• Perform other duties and responsibilities as assigned by management to support overall clinic operations

Qualifications:

• High school diploma or equivalent; Associate’s/Bachelor’s degree preferred
• 3+ years in medical or pediatric office management
• Strong knowledge of medical billing, coding, and insurance systems
• Excellent communication skills and a patient-focused, family-friendly attitude
• Leadership experience in hiring, training, and staff development
• Proficiency with EHR systems (e.g., Epic, Athenahealth) and MS Office
• Ability to multitask, prioritize, and adapt in a fast-paced, pediatric practice
