Job Description Summary

Reporting to the Associate Director of Group Sales, the Groups Sales Coordinator is responsible for actively soliciting and selling group visits and helping to coordinate the daily operations of the Group Sales program at the Penn Museum. They perform a range of duties including generating leads, selling group visits, processing, and servicing all requests for groups, handling all group customer inquiries, and producing status reports.

The core focus of this position is the management of the Group Sales database and working with the Associate Director of Group Sales to meet and exceed related revenue and attendance goals for the Penn Museum. The position also requires working with other departments in the Museum to ensure coordination and the best experience for our group visitors.

Job Title: Group Sales Coordinator                        

Department: Learning & Community Engagement (LCE)

Supervisor’s Title: Associate Director of Group Sales

Compensation: $26.78 p/hour

Non-Exempt, Full-time (up to 35 hrs p/week), hybrid eligible

Job Responsibilities

  • Assist Group Sales Manager in the formulation and implementation of proactive Group Sales marketing campaigns, soliciting and monitoring leads based on sales goals set with the Associate Director, and pursue strategic opportunities for capturing ticket sales from targeted constituencies.
  • Maintain database and track Group Sales leads, inquiries, lost business, sales revenue, and provide ongoing status reports to Group Sales Manager.
  • Coordinate with Visitor Services staff to schedule and confirm Group Sales reservations.
  • Follow up with Group Sales customers to gather feedback and determine satisfaction.
  • Other duties and responsibilities as assigned.

Qualifications

  • High school diploma and 0 – 1 years’ experience, or equivalent combination of education and experience, are required. BA/BS preferred.
  • Attention to detail and the ability to balance multiple projects simultaneously are required.
  • Must be a team player and background in sales or marketing would be helpful.
  • Strong written and verbal communications required.
  • Customer service and hospitality experience preferred.
  • Ability to interface with a wide range of constituent groups and superb presentation skills required.
  • Strong computer literacy required, including database entry and reporting, spreadsheet management, experience with CRM software such as Altru or Salesforce is preferred.
