SALARY RANGE: $55,052.00 - $66,838.00 ANNUALLY

PROBATION
All persons, including current City employees, selected for this position must complete a mandatory 6-month probation.
SUMMARY OF POSITION
The Baltimore City Department of Transportation (BCDOT) is seeking a highly skilled and dynamic Special Assistant to serve in the Director of Transportation Office. BCDOT is responsible for the planning, design, building and maintenance of 2,000 miles of roadways; 7 miles of interstate highways; 298 bridges and culverts; sidewalks, curbing and gutters; 456 miles of alleys; 72,000 streetlights; 1,300 signalized intersections; and 250,000 traffic and informational signs within the City of Baltimore.
ESSENTIAL FUNCTIONS
- Assure the smooth operation of the Director’s office
- Manage the Directors’ calendar, vetting all inquiries, invitations, requests
- Schedule meetings, understanding priorities, recurring meetings, and resolving conflicts
- Schedule conference/virtual calls, conference rooms and conference call line schedules, understanding priorities, recurring calls, and resolving conflicts
- Arrange travel, documenting all details, maintaining confirmations, and handling cancellations
- Take telephone messages, relaying information and responding to inquiries in a timely manner
- Provide clerical assistance/finalize correspondence from the Director and Deputy Director
- Handle confidential assignments as requested
- Assist with internal and external event planning as requested by Department senior staff
- Develop and maintain front desk staffing schedule
- Assist Department Senior Staff Members with calendar scheduling
- Assist staff with all office maintenance needs (i.e. Temperature control, necessary repairs, etc.)
- Serve as first point of contact with building management, including submitting work requests directly or via phone or email
- Plan and manage all Office of the Director meetings and events including monthly meetings, special meetings, annual retreat, catering orders, speaker/presenter requests, staff presentation needs, recording and transcription of proceedings, agenda timing, invoice review, per diem requests, parking voucher requests, compiling meeting minutes, posting of public notices, website content management, and payment of expenses as appropriate
- Oversee and coordinate internal operations, ensuring efficient workflow, resource allocation, and alignment with the agency's mission.
- Lead special projects and high-priority initiatives on behalf of the Director, including cross-agency collaboration efforts.
- Manage communications, ensuring clear messaging and information dissemination within the department and to external partners.
- Analyze data and reports to provide evidence-based recommendations for the Office of the Director.
- Drive a culture of innovation, accountability, and continuous improvement within the department.
EDUCATION AND EXPERIENCE REQUIREMENTS
EDUCATION: Have an associate’s degree or equivalent in Business Administration, Public Administration or closely related field may be substituted for two (2) years of required experience.
AND
EXPERIENCE: Have two (2) years of increasingly responsible experience providing administrative and clerical support to an executive management level position.
Experience working with elected officials, government agencies, and community organizations.
LICENSES, REGISTRATIONS AND CERTIFICATES:
Have a valid Maryland Class C Noncommercial driver's license or an equivalent driver's license and eligible to obtain a Baltimore City driver’s permit. PROVISIONAL DRIVER’S LICENSE ARE NOT ACCEPTABLE.
