Introduction to role

Are you ready to make a difference in the world of Oncology? At AstraZeneca, we are currently searching for a Administrative Coordinator to join the Hematology Global Commercial team.  In this role, you will provide direct support to Global Commercial Heads along with some support to their broader team. Your role will be pivotal in ensuring the smooth operation of her team’s activities, from project management, travel arrangements, organizing internal/external meetings, preparing meeting agendas and logistics, processing expense claims, supporting purchase orders, to maintaining documentation and systems.

Accountabilities

  • Manage calendars, travel bookings, and expense reporting and larger meeting arrangements.
  • Support team members in managing the global commercial budget by working with budget owners to ensure accurate financial planning and management in Anaplan, submission of SOWs and invoicing, and liaising with vendors as required.
  • Coordinate larger internal and external meetings/conferences, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
  • Respond on behalf of the GCHs to different partners while maintaining high professional standards and meeting conflicting needs.
  • Accurately transcribe, type, format, and proofread a wide variety of materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, and presentations) using Microsoft Office.
  • Use desktop publishing software to design more complex documents to support the department's work.
  • Provide specialist project-based administrative support when required.
  • Prepare documents, presentation materials, and official information releases on behalf of the team and distribute them to required collaborators.
  • Plan, organize, and schedule your workload to ensure all activities are completed accurately and on time.

Essential Skills/Experience

  • HS Diploma or GED, Bachelor's degree preferred
  • 5 plus years prior Personal Assistant experience or experience supporting leaders within a global organization
  • Ability to follow processes
  • Good communication skills. Ability to build relationships/network across peer group and key stakeholders in a manner that improves work output and enhances the reputation of the Haem team.
  • Specialist knowledge in relation to administrative/business support activities in the relevant area
  • Competent in the use of relevant office equipment and systems
  • Experience with a variety of software/systems
  • Thorough understanding of the local organization, and extensive knowledge of how local business processes interface with other relevant processes and information systems.
  • Able to undertake a full range of budgetary/finance activities relevant to the area of work
  • Can create and maintain systems for efficiency for both self and others

The annual base pay (or hourly rate of compensation) for this position ranges from $30.89/hr to $46.33/hr. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.
