Job Title: Sr HGS AWG Brands Special Projects Assistant 

Job Location: 5000 Kansas Ave, Kansas City, KS

Reports to: HGS Director of Promotions and New Member Support

Division/Department: HGS 

Purpose of Job: 

This job supports key special projects for HGS and AWG Brands; with specific focus on new items and brand set up, transition, tracking of inventory and finished goods, etc. This role will also support ongoing promotional efforts within HGS and AWG Brands to establish promotional calendars, track all promotional and marketing support materials available to members from key vendor partners, as well as to survey, report and track implementation of all promotional and marketing support programs available. 

Key Responsibilities: 

Special Projects 

  • Assist HGS Category Management and Promotions team with project coordination and implementation of special projects to support AWG Brands within HGS and Specialty departments (i.e. brand transitions, new item set-up, etc.)
  • Assist Category Management, IMD, vendor partners and AWG Brands team to identify and track finished goods and packaging quantities both at AWG and among vendor partners for key items transitioning to other brand(s). Keep updated records of quantities and work with the team to project out remaining days of supply/inventory elimination updates, etc. 
  • Report progress of outstanding and depleting inventory of packaging and finished goods to AWG Brands and HGS Category Management to make informed decisions about product transition
  • Support HGS leaders on boarding and smooth transition to Sales and/or support organization for non-patronage business. 
  • Support HGS Promotions Director and AWG Brands Marketing Director on providing status updates and recommending to help drive decisions regarding timing of transition. 

Promotional Program Set-Up and Maintenance

  • Log in to vendor-provided website portal to download and track marketing promotional calendars, support materials, product images, presentations, etc. Share with AWG Brands and HGS Category Management team, ensuring storage to AWG folders. 
  • Support HGS Promotions Manager and AWG Brands team in creating a promotional calendar for HGS items within AWG Brands based on product/seasonal cadence. Assist team with communication of promotional calendar to internal team and to members. 
  • Develop and maintain member surveys and tracking for supplemental displays, marketing materials, etc. within AWG Brands HGS programs. Report commitments back to key vendor partner. Facilitate tracking of information for shipping of materials and displays. Follow through with tracking to ensure members receive product and marketing support materials as promised. 

Key Requirements / Skillsets

  • Level of Education: High School required. Some college preferred, but not required if skill sets needed are present. 
  • Related Experience: 2-4 years Category assistant, program/project management assistance, accounting, customer service, vendor relations, IMD relations, basic private brand vendor experience and exposure to forecasting
  • Special Training,Certifications or Competence: AWG Accounting systems, AWG SCM system, Excel, Access, Digital Coupons portal, Customer service

What aspects of this position take the longest to learn, and why? ­­­­­­­ SCM, Peoplesoft, SAL vendor set up/reimbursement, working through all the processes that go into bringing an AWG Brands product to life. New relationship with vendor partner for everyone, so everyone will be new to processes, vendor portal, marketing support available, etc.  Many of these elements are on-the-job training components.
