About the role

The Unit Operations Administrator provides essential support to the Assistant Director of Operations and Strategic Initiatives in managing and executing the College of Education’s operational functions. This role encompasses leadership, coordination, and the implementation of policies and procedures that support the college’s strategic and administrative goals.

Serving as a key liaison between centralized university departments and the College, the administrator ensures effective communication and collaboration across units. The position also provides high-level administrative and academic support to department Chairs, faculty, staff, and students, fostering a culture of service excellence.

Additional responsibilities may include supervising staff and OPS employees to promote team efficiency and performance. Working closely with the Assistant Director, the administrator helps align college operations with the university’s mission and strategic priorities, contributing to the achievement of institutional objectives.

Serves as the primary liaison between the college and central administration, ensuring effective communication and coordination. Acts as the main point of contact with embedded services to facilitate accurate and timely processing of HR transactions. Collaborates with department managers to ensure adherence to USF policies and procedures. Manages and oversees employee assignments and evaluations to support workforce effectiveness and development. Ensures all college and departmental actions are aligned with university and college policies.

Works collaboratively with staff, administration, faculty, and operations teams to clarify roles, responsibilities, and expectations.
 


Collaborates with the Assistant Director of Operations and Strategic Initiatives to ensure the college aligns with the university’s mission and goals, as well as meeting the college’s objectives. Works closely with the Dean’s Office to assist in planning and coordinating events sponsored by the Dean’s Office.

Assists in coordinating on-boarding and post-boarding processes for new employees within the college. Ensures that the initial introduction of new staff is welcoming and productive, and that department-level orientations are standardized and effective. Coordinates and facilitates training workshops and classes for administrative and staff employees within the college. Upon employee separations, collaborates with departments and supervisors to ensure the termination of access to university systems and the collection of university property.

Ensures all documentation is completed accurately and processed in a timely manner. Provides assistance to faculty and staff in preparing necessary paperwork based on their individual needs. Ensures that all approved documents are submitted to the HR Business Partner (HRBP) and accurately updated in the Oracle system.

Performs other duties as assigned.

Minimum Requirements: Bachelor's degree and 2 or more years of related experience. 6 years of relevant experience or a combination of education and experience may substitute for the bachelor's degree. Strong organizational skills and have a demonstrated ability to manage multiple projects concurrently.
 

Candidates should have prior experience working in higher education or within a university setting. Demonstrated success in coordinating on-boarding, orientation, and training programs is highly valued.

 A proven track record of developing and implementing process improvements to optimize administrative workflows is also important. The ability to work independently and collaboratively within a team while maintaining professionalism and discretion is essential. Excellent interpersonal and communication skills are necessary to effectively collaborate with diverse stakeholders.
