Provide a high level of confidentiality and program administration for the Ombuds office. The position establishes administrative systems to ensure high-quality processes comply with the Standards of Practice and the Code of Ethics of the International Ombuds Association (IOA). Manage high level intake information gathered to create a database of user demographics and general nature of situations presented to the Ombuds office.

**The Executive Assistant must demonstrate a willingness to sign a confidentiality agreement. This role requires maintaining the highest level of confidentiality regarding all District matters, especially those involving the Superintendent, Chief of Staff, and the Board of Education. Ensuring trust and discretion is paramount to the success and integrity of this position.

  What You'll Do:
  • Assess the level of concern and uses counseling/psychology skills to assist visitors to the Ombuds office who are often in distress.
  • Position considers their mental state and makes a determination about how to best help, which ombudsman to refer them to, and when to escalate for safety concerns
  • Position also assists with compliance and de-escalation of issues as the first point of contact.
  • Coordinate and conduct all intake for the Ombuds office.
  • Serve as the initial point of contact for the Ombuds office.
  • Develop and maintain effective working relationships with all contacts, internal and external, including bargaining associations
  • Organize, update, and maintain tracking and database systems for all Ombuds activities, including inquiries, interactions, facilitations, and educational programs conducted.
  • Manage department budget to actuals tracking process for general funds and coordinates with team members and financial partner to ensure the accurate tracking of
    department spending.
  • Conduct ongoing review and revision of Ombuds office case intake protocols and materials.
  • Communicate official departmental/employer policies, procedures and practices to designated individuals or groups, as directed.
  • Maintain confidentiality of all documents and interactions in the office.
  • Create and execute effective marketing of the services of the Ombuds office to include brochures, posters and other marketing materials.
  • Conduct regular mini-information sessions or events publicizing the Ombuds office.
  • Assist Ombuds in design and revision of training materials on such topics as dispute resolution, conflict management, listening and communications, and civility.
  • Maintain and update District Ombuds webpage.
  • Position attends courses and conferences to further knowledge of the field. For example, Ombuds Fundamental Course.
     
What You’ll Need:
  • High School diploma, completion of G.E.D., or equivalent, required.
  • Three (3) or more years’ experience in administrative/clerical work or combination of education and experience. 
  • If using personal vehicle to conduct work business, must have a valid Colorado driver’s license or be able to obtain a Colorado driver’s license within the state’s required time frame for new residents and meet the District’s insurability requirements.
  • Lead for racial and educational excellence and work to dismantle systems of oppression and inequity in our community, along with believing in and supporting all students so they feel seen and heard with access to high quality education.
