Admissions Coordinator, Admitting & Registration

Full Time, 80 Hours per pay period, Variable Shifts

This role oversees the employees in both ED locations.

Some coverage or overtime could occur on any shift.

On Call required every 3 weeks.

Morristown-Hamblen Healthcare System has 167 licensed beds and 23 emergency suites. The hospital offers outstanding ancillary services including Laboratory, Radiology and Therapy services. At our Breast Imaging Center of Excellence, women can have their annual mammograms, biopsies, and can meet with a nurse navigator if needed. The Women’s Center offers six newly remodeled labor and delivery suites and has a secure nursery for the care of our newborns. Position Summary:

Manages day-to-day operations of admissions office.  Position is responsible for receiving telephone calls on all potential patients.  Accurately collects data on call inquiry sheet.  Schedules and facilitates screenings and/or admissions.  Ensures that all admission paperwork is completed in a timely and accurate manner.  Handles calls requesting information about the hospital and its programs.  Helps foster a positive image of Morristown-Hamblen Healthcare System through public relations and communication within the Covenant Health system and the community.  Works with clinical and medical staff to allow clients to be dispositioned in the most appropriate clinical setting.

Responsibilities

  • Works with internal and external customers to provide conflict resolution when situations develop.
  • Maintains competency in all Admissions Representatives position accountabilities and performance criterion. Initiates disciplinary action in conjunction with Inpatient Admissions Director and Human Resources representatives.
  • Works within the guidelines of Covenant Health policies and procedures for effective decision making regarding admissions procedures and processes.
  • Provide twenty-four hour support for Admissions Representatives when unique or complex situations arise or complications with any sphere of the admissions process.
  • Coordinates with Business Office, Medical records, and Utilization Review departments regarding the tracking and ongoing training of Admissions Representatives concerning Admissions Department inaccuracies or inconsistencies.
  • Completes and maintains departmental statistical performance reports.
  • Maintains competencies of Admissions Representatives through working with the Inpatient Admissions Director on:
    • Ninety day on the job performance check
    • Quarterly performance check-up
    • Yearly performance review
  • Works closely with Inpatient Admissions Director on process improvement initiatives to better manage client assessments and families in the reception area and assist to maintain a safe environment.
  • Works closely with Clinical Director and assessor staff to ensure all assessments are completed in a timely and comprehensive manner. Provide assessor with post assessment triage to ensure client linkage to an appropriate level of care.
  • Assist clients, their families, and professions in the community with complex cases and linkage to appropriate levels of care for their clients.
  • Demonstrate and models the skills necessary to safely and effectively handle and defuse crisis situations, both on the telephone and on Hospital campus.
  • Maintains extensive knowledge of the computer software programs used to facilitate the admissions process.
  • Maintains extensive referral information of the programs within the Covenant umbrella and the community to assist clients in finding appropriate care.
  • Maintains extensive knowledge of admissions department processes and programs.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Performs other duties as assigned.
