The Frontline Supervisor, Ambulatory Clinics will be responsible for:
- Supervising and leading the work of support staff, overseeing the clinical administrative support services for the department. Planning, prioritizing, and delegating work assignments while monitoring performance, providing feedback, and offering guidance as needed. Training and orienting new personnel and communicating changes in hospital and departmental policies and procedures.
- Monitoring clinic activity to ensure the best possible patient experience. Assisting staff in resolving customer service and scheduling issues. Responding to patients’ concerns and needs, offering the best possible appointment options and resolution. Addressing situations requiring escalated service responses.
- Monitoring and maintaining department electronic and paper recordkeeping systems, including highly sensitive/critical administrative and financial data and employee information. Overseeing the input of information into computer databases and spreadsheets, monitoring data validity, and compiling, printing, and distributing periodic reports and other information as needed. Evaluating, recommending, and implementing changes or upgrades in systems as appropriate. Serving as a Super User for the clinical floor and participating in Joint Commission/Environment of Care preparations and rounds.
- Collecting and compiling data from diverse sources, performing calculations, creating spreadsheets, graphs, and charts, preparing analyses for the supervisor's review, and performing other related duties as assigned.
- Organizing and maintaining daily administrative operations of the department. Preparing, verifying, and monitoring departmental payroll and maintaining related records. Preparing periodic reports and documents to comply with hospital, governmental, regulatory, and/or funding agency requirements, according to established schedules. Monitoring employee review dates, terminations, and other personnel actions and initiating required forms and documents. Initiating, routing, and tracking administrative forms such as purchase orders and payments.
- Monitoring and maintaining department supply inventory and computer equipment. Purchasing standard departmental supplies and equipment repair services within established budget allocations. Evaluating and recommending the purchase of equipment and non-routine supplies. Serving as liaison to support service departments to request and coordinate the provision of needed services.
To qualify, you must have:
- Completion of two years of occupationally specific education or an Associate's degree required.
- Degree/area of study preferably in business or a closely related field.
- 2 years of previous experience. Additional years of experience may substitute for education.
- Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
- Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
