Overview
The Office of Legal Affairs is seeking applications for an Administrative Assistant Senior position on the Logan Campus. The Administrative Assistant Senior position performs a variety of administrative support and secretarial duties in the direct support of the Legal Affairs department, including the Office of General Counsel and Compliance. Additionally, the Administrative Assistant Senior position may be expected to train and guide Staff Assistants and/or hourly or student employees, and fulfill additional responsibilities as assigned. This position reports to the University General Counsel.
Responsibilities
- Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, maintaining/ordering office supplies, and other general office duties as assigned.
- Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings.
- Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and arranging office travel and reimbursements for staff and visitors as needed.
- Handles purchasing and reconciliation of office supplies and necessities.
- Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
- Composes and word-processes various standard documents, correspondence, and reports.
- Prepares agendas, coordinates meetings, and transcribes meeting minutes.
- Maintains current personnel files.
- Plans and executes events, including banquets, receptions, retreats, etc.
- Assists with the hiring, training, and supervision of other office personnel.
- Performs other miscellaneous duties as assigned.
- Maintains attorney-client privilege and confidentiality regarding business data and personal information.
Qualifications
Minimum Qualification:
- Six years of experience; or vocational/technical training/associate degree in an office or business field plus four years of related experience; or a bachelor’s degree in a related field plus two years of experience is required.
Preferred Qualifications:
- Familiarity with USU databases, processes, and procedures.
- Experience with and understanding of legal matters and affairs.
Knowledge, Skills, and Abilities:
- Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
- Excellent critical thinking skills.
- Skilled in creative problem-solving.
- Skilled with basic office equipment, including printers, copiers, and telephone systems.
- Good organizational skills.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential business data and personal information.
- Ability to work without supervision.
- Knowledge of University policies and procedures.
- Excellent customer service skills.
