Administrative Assistant, Humanities and Education


Chatham University is now welcoming applications for an Administrative Assistant to serve in the Departments of Humanities and Education.

This position will be split as follows between the Humanities Department and Education Department: 60% Humanities Department Administrative Assistant: under limited supervision, provide responsible, confidential administrative support to Humanities Chair. 40% Education Department Administrative Assistant: under limited supervision, provide responsible, confidential administrative support to Education Chair, including clerical assistance with the Chatham Music and Arts Day Camp (CMADC).

Duties:

(60%) Coordinates and facilitates operations and procedures within Humanities Dept:

  • Prepare departmental correspondence and documents (class schedules, department calendar, student information, orientation materials, adjunct contract requests, etc.).
  • Monitor budgets and track expenditures; order supplies as necessary.
  • Plan and coordinate department events, including event promotion, room reservations, food service, and travel arrangements.
  • Assist in preparation of annual program reports and assessment.
  • Serve as liaison with other University offices when needed.
  • Manage departmental communications by phone and email.
  • Maintain confidential records for departmental needs.
  • Participate in required meetings.
  • Supervise student assistants (work-study) when needed.
  • Perform other duties assigned by Chair, including support for graduate programs.

(40%) Coordinates and facilitates operations and procedures within Education Dept:

  • Organize files, create correspondence and prepare reports or documents for Education and CMADC.
  • Communicate clearly, effectively, and efficiently with a wide variety of people in both oral/video, and written encounters.
  • Maintain appropriate files, records, and computerized databases for both PDE and ACA accreditation.
  • Keep the Chair informed on the progress of all assignments.
  • Take notes at meetings, coordinate tasks and follow-up, and assist with event & task planning.
  • Track Education student and CMADC employee completion of required activities and paperwork.
  • Post training activities for employees to a learning management system.
  • Assist the Chair in tracking purchase orders and maintaining records for reporting.
  • Assist in coordinating staff training activities, scheduling meetings, developing and disseminating promotional materials/website, and coordinating registration for the annual day camp.
  • Performs other duties as assigned by the Chair.

Qualifications:

  • Excellent organizational, written, and verbal communication skills including management of scheduling, rosters, and records.
  • Leadership experience or strong potential.
  • Able to interact and work well with faculty, students, community members, and outside agencies.
  • Three years of related experience.
  • Proficient in Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).

Salary Range:

$34,600-$39,400. 35-hour work week.
