Position Summary:
The HR Specialist has a dual reporting relationship with the Director, Talent Management and the VP, People and is responsible for coordinating and managing various HR activities, including New Hire Orientation (NHO), job fairs, recruitment support, team member events, board meeting presentations and minutes, and additional meeting support.
Position Responsibilities:
The following represents the primary position responsibilities, but other related duties may be assigned to meet the organization's needs.
New Hire Orientation (NHO):
- Coordinate and conduct New Hire Orientation to include room reservations and set up, preparing welcome bags and meeting materials distributed at the event.
- Serve as a point of contact for new hires, addressing questions and providing support during the onboarding process.
Job Fairs & Recruitment Support
- Plan, organize, and attend job fairs and recruitment events to attract top talent and build brand awareness.
- Develop and implement strategies to effectively represent the organization at job fairs.
- Coordinate logistics, including booth setup, materials, and staffing for job fair events.
- Provide support to part-time recruiters during peak recruitment periods.
Team Member Events
- In partnership with the Director, Talent Management plan and execute team member events, including recognition programs, celebrations, and other organizational activities.
- Coordinate event logistics.
- Work closely with team members and departments to ensure successful event outcomes.
- Develop event surveys to gather post-event feedback to influence future event outcomes.
- Manage Aspire’s monthly Be In The Know meeting and share monthly headlines.
- Manage the inventory and organization of Aspire branded items and the ordering of new items as needed.
Board Meeting Support
- Attend board meetings to support the presentation shared through Zoom and accurately record meeting minutes.
- Prepare meeting minutes in a timely manner for the CEO’s review.
- Maintain organized records of meeting minutes and related documentation.
Meeting Support
- Provide support for meeting room setup, logistics, and refreshments for the Vision Team and Board Meetings
- Ensure meeting rooms are properly equipped with necessary supplies.

Requirements
Required Education & Experience:
- Bachelor’s degree or equivalent work experience
- 2 years of experience in human resources or related field
Additional Licensing/Certifications:
- Valid driver’s license with good driving record

Preferred Skills, Knowledge & Abilities:
- Experience with recruitment support and event planning.
- Previous experience working for a not-for-profit organization.
