The Facilities Associate at RWE Clean Energy is responsible for a range of support functions for the Chicago office facility. This position manages all mail and shipping services; coordinates with the Office Manager and the Environment, Health & Safety department to maintain compliance; and supports the Office Manager with the overall maintenance of the facility, including the organization, inventory, and ordering of supplies.
Responsibilities:
- Builds relationships with internal and external customers
- Coordinates multiple priorities and produces accurate & timely work, despite frequent interruptions
- Supports the Office Manager with planning, scheduling and execution of duties as assigned
- Serves as a representative for physical safety and evacuation procedures
- Supports Environment, Health & Safety compliance requirements, such as fire extinguisher inspections, etc.
- Manages timely mail shipment, processing, organization, and distribution, both domestically and internationally
- Prepares shipping labels and supports outgoing mail requests
- Troubleshoots problem shipments, such as international shipments held in customs, etc.
- Manages inventory of shipping supplies and orders, and organizes supplies as needed
- Monitors building maintenance, condition of equipment, and service contracts
- Ensures facility work orders are completed in a timely and efficient manner
- Communicates with office effectively with respect to maintenance projects
- Manages inventory, places orders for and organizes supplies
- Oversees general facilities upkeep and works closely with porters
- Completes basic expense reporting and invoicing
- Assists with desk clean-outs, moves, and preparations for newly onboarded employees
- Relieves Receptionist for lunch breaks and scheduled time off
- Prepares conference rooms for meetings and lunch events
Qualifications:
- College degree not required; relevant experience preferred
- Associate’s degree preferred
- Minimum 2 experience in similar role
- Minimum 3 years customer service experience
- Minimum 1 year experience in Shipping Management, including retail shipping services (ie FedEx, UPS, etc.)
- Knowledge of PC equipment and basic software (Word, Excel, PowerPoint, Outlook, etc.)
- Strong organization skills and ability to coordinate multiple tasks and deliverables
- Ability to push/pull/lift tools and equipment weighing up to 50 lbs.
- Ability to walk, climb, and stand extensively during the work day
- Knowledge of and experience with the use of hand and power tools
- Knowledge of environmental, health and safety policies and procedures
- Ability to work within tight deadlines
- Strong interpersonal communication skills, with ability to manage customer relationships
- Ability to work independently and as part of a team
- Motivated self-starter, goal-oriented, and strong problem-solving abilities
- Proven ability to empathize, build relationships, and effectively communicate with people from a diverse set of backgrounds
- Responds well to direction, is easy to challenge and develop, and is coachable
- Excellent proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and Teams
