Job Description:

The Department and Health and Human Services Office of Economic Assistance is seeking a highly motivated individual to join their Team in the Administrative Programs Officer I position. This position serves as a coordinator or specialist for the agency’s professional technical, business management or operational function. Positions at this level are typically assigned independent responsibility for a program or business operation involving extensive liaison, coordination, and interaction with employees and customers/clients of the employing agency, members/representatives of boards, commissions, councils or other governmental agencies or legislative contacts, community/professional associations and/or interest groups, and the public, requiring persuasion and motivation to achieve established goals and requirements through these individuals and organizations. Positions require in-depth program administrative knowledge to set goals and plans, produce agreements/settlements, resolve conflicts, and provide fiscal management.


 

The Administrative Programs Officer I will:

  • Provide administrative support across multiple areas of the Office of Economic Assistance, including answering phone calls, receiving visitors and guests, processing mail, filing, and data entry.
  • Prepare and modify documents, including correspondence, reports, drafts, memos, and emails for internal or external communications.
  • Monitor correspondence and refers it to other staff for reply or collects background information and writes appropriate responses to ensure proper disposition of inquiries.
  • Manage senior leadership calendars and schedule appointments.
  • Schedule and organize activities such as meetings, travel, and department activities for senior leadership and agency staff.
  • Assist senior leaders and staff with financial tasks, including monitoring and tracking expenses, gathering supporting documentation, and assisting in processing expense reimbursements.
  • Maintain and track asset inventory and agency staffing throughout multiple offices across the state.
  • Plan and coordinate special research and investigative assignments regarding functional and operational problems and issues to develop and recommend courses of action or corrective actions. 
  • Respond to requests for information and reports with extracted data from databases.
  • Other administrative duties as assigned.

Hiring Rate:  $20.023 per hour – non-exempt

Work Schedule:  Monday – Friday, 8:00 AM – 5:00 PM

Dress Attire:  Business Casual

Driving is required.


 

Requirements/Qualifications

Minimum Qualifications: Associate degree in public or business administration, accounting, or any discipline related to the work assigned. One year of experience in administrative, business management or technical support work including collecting and interpreting statistical, financial, program, or administrative data; or interpreting laws, rules, regulations, and processes. Experience may substitute for education on a year-for-year basis.

Preferred Qualifications:

  • Administrative background and strong organizational skills.

  • Four years of related experience in an office setting.  

  • Strong interpersonal and communication skills, both verbal and written.  

  • Proficient with the following:  Microsoft Excel, Word, Access, and Outlook.  

  • Ability to work independently and multi-task. 

Other:

Valid driver's license or the ability to provide independent authorized transportation.
