AVER is seeking an experienced Executive Assistant/Analyst to perform administrative support to a Department of Homeland Security client. The candidate will provide mission support services that focus on strategic communications, digital correspondence, facilitation, planning, and logistics. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and can manage multiple tasks efficiently. The ideal candidate is detail-oriented and proactive Executive Assistant to support our team in a fast-paced office environment with federal clients. The candidate can manage multiple projects, ensuring accurate and timely responses for federal clients. Responsibilities Include:
- Support client through effective task management and acting as main point of contact for the office. Oversee coordination of facilitation and planning within the office
- Operate daily executive task tracking correspondence management system to track and monitor all internal and external tasks
- Ensure task coordination across the branches and sub-divisions while providing quality control to advance information-sharing. Provide management and oversight over complex and outgoing tasks
- Monitor and maintain the division ExecSec inbox
- Lead administrative and logistical activities for the team, including daily sync, SharePoint site maintenance, and develop and improve processes and procedures
- Support the development and execution of special projects and initiatives
- Ensures smooth office operations and providing high-quality administrative support
- Provide in-office support to division leadership once a week
- Bachelor’s degree
- 3+ years of professional work experience to support client through effective task management and acting as main point of contact for the office. Oversee coordination of facilitation and planning within the office
- Self-directed and possess leadership, organizational, communication and interpersonal skills with the ability to work independently with no supervision
- Ability to demonstrate sound judgment and decision-making skills with clients and colleagues
- Ability to multi-task and excel in a team environment. Ability to manage several different stakeholders and lead events and initiatives
- Proficiency in Microsoft Office Suite applications, especially Word, Excel, PowerPoint, Outlook, SharePoint, OneNote, and Teams
- Excellent collaboration skills and the ability to work in a team environment
- DHS experience preferred
- Strong organizational and time management skills, possesses expertise in identifying inefficiencies, implemented, and developed new processes and procedures and SOP’s as well as experience managing complex schedules, programs, calendars, projects, and assignments with competing priorities
- Prior experience as an admin assistants, executive assistants, or Action Officer
- Experience with supporting the Department of Homeland Security, preferred
- HYBRID (Must be local to Washington, DC)
- Ability to obtain and maintain a government clearance (Public Trust)
- This role supports a government agency which requires U.S. citizenship
