POSITION PURPOSE
Initiates and maintains direct communications with outside agencies related to clinical care coordination. Completes prior authorization requests for occupational, physical, and speech therapies. Responds to retrospective review audits for occupational, physical, and speech therapy services. Works closely with professional staff for client monitoring and coordination of services.
ESSENTIAL FUNCTIONS & BASIC DUTIES
· Responsible for initial processing of all clinical evaluation reports. Enters dates in electronic system, ensures original report is filed in medical chart by providing to the front desk, emails/mails copy to parent/guardian and when applicable, faxes to referring physician. Uploads all final evaluation reports into electronic system. Completes withdrawal forms when appropriate.
· Enters all prescriptions for evaluation and treatment in electronic system. Requests all renewal prescriptions for evaluation and treatment. Ensures all prescriptions are filed in the student’s/client’s medical chart by providing to the front desk. Uploads all prescriptions into electronic system.
· Submits occupational, physical, and speech therapy prior authorization requests to EQ Health and Medicaid PASSEs when applicable. Enters all approvals in electronic system. Works with individual clinicians, Quality Information Coordinator and Director of Clinical Operations to appeal all denials. Ensures all final determinations are filed in the student’s/client’s medical chart by providing to the front desk. Uploads all final determinations into electronic system.
· Responds to all occupational therapy, physical therapy, speech therapy, and EIDT retrospective audit requests. Provides requested information within required time frames. Works with individual clinicians, educators, Quality Information Coordinator and Director of Clinical Operations to appeal all denials. Ensures all final determinations are filed in the student’s/client’s medical chart by providing to the front desk. Uploads all final determinations into electronic system.
· Requests extensions and modifications to prior authorizations when necessary.
· Works closely with educational, clinical, and administrative staff for student/client monitoring and coordination of services.
· Organizes and coordinates audiology services and follows up with the Primary Care Physician (PCP) and parent/guardian, as indicated.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to talk or hear. The employee is regularly required to walk; sit; use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
The noise level in the work environment is moderately quiet.

Education/ Certification:
Qualifications:
- Bachelor’s Degree from a four-year accredited college or university preferred.
Experience/ Knowledge required:
- One year of successful experience in a similar position preferred.
Skills/ Abilities:
- Ability to communicate effectively and professionally with a wide variety of people.
- Strong organizational skills with attention to detail and accuracy.
- Basic computer skills which include a working knowledge of databases, word processing, spreadsheets, and Internet software.
- Ability to handle multiple tasks in a very busy environment.
